Workflow Design

Workflow Design is a system in PANTHEON that provides an infrastructure for the set-up, performance and monitoring of a defined sequence of tasks, arranged as a workflow. Put shortly, the workflow designer is where you create and edit workflows.

The workflow designer in PANTHEON allows you to:

  • build documentation that demonstrates workflows or procedures,
  • visually design workflows in a diagram,
  • set and run workflows, and
  • manage tasks generated by workflows.

Technically, you can differentiate between a workflow definition or workflow for short, and a workflow instance. A workflow definition is the representation of a business process. For better understanding, a workflow definition can be compared to a flow chart, which defines how a workflow functions. A workflow instance is a running instance of a workflow definition. A single workflow definition can generate an unlimited number of workflow instances. You can find detailed information in the dedicated chapters linked above.

In PANTHEON, the Workflow Design can be opened from the main menu Settings | Documentation | Workflow Design.

The empty window that opens can be logically divided into three sections:

  1. Workflow (system) toolbar – with the title, system buttons/icons and some form-specific options.
  2. Settings – opens upon clicking on Settings and holds the main general data and additional settings for the entire workflow.
  3. Design – opens by default as a grid with a toolbar and groups of Workflow elements/blocks on the left.

WARNING

If you want to delete and/or overwrite an existing workflow that has already been used, you must first delete the workflow usage logs in Workflow Log.
