SMS, Viber and Email Notify

The SMS, Viber and Email notification service predefined eWorkflow enables notifying subjects via SMS notifications or email.

Depending on the Send method selected on the Notify contacts form, the eWorkflow sends a notification to the selected subjects. When selecting the Send method option:

  • SMS or SMS or email:: The program checks whether the subject entries selected from the list contain a phone number and consent to be notified by SMS in the Subjects register. If this has been properly set up, the program sends an SMS notification to the selected subjects.
  • Email or SMS or email:: The program checks whether the subject entries selected from the list contain an email address and consent to be notified by email in the Subjects register. If this has been properly set up, the program sends an email notification to the selected subjects.

The information whether the SMS or email notifications have been successfully sent is recorded in Documentation.

The eWorkflow is made up of a set of automated elements, which run the following crucial steps in the background:

  1. Gathering data for sending an SMS: Depending on the selected Send method, SMS or SMS or email, the program checks whether the subject entry contains a phone number and consent to be notified. If this has been properly set up for the subject, the program sends the subject an SMS notification. The key block in this step is the Send SMS block.
  2. Gathering data for sending an email: Depending on the selected Send method, Email or SMS or email, the program checks whether the subject entry contains an email address and consent to be notified. If this has been properly set up for the subject, the program sends the subject an email notification. The key block in this step is the Send mail block.
  3. Entering the data in Documentation: When an SMS or email notification is sent successfully (or unsuccessfully), this information and the corresponding metadata are entered in Documentation. In this step, the key block is the Load to DMS block.

For the eWorkflow to work properly, no additional settings need to be defined apart from the settings described in the chapter SMS and Email Notification Settings.
