Transferring a workflow from server

 

Company's business processes or workflows determine who works on what documents and in what order. To make sure that work can be done as efficiently and quickly as possible, PANTHEON users can use the predefined workflows that are available for download from the web server. Below is an example of how to transfer a workflow from a web server and run it.

CASE SUMMARY

At Tecta, the year-end closing process is carried out once a year by Ashley Accountant, Head of Finance and Accounting. Because she wants to be more efficient in her work, she will carry out the year-end closing process by using a PANTHEON workflow that will guide her through the steps she needs to take. For this purpose, she transfers the workflow from the web server as described below.

  • The person responsible first opens the menu Settings | Documentation | Workflow design.

  • The window Workflow - design opens. where the person responsible clicks the toolbar button (Import/export data) and

  • selects the option Transfer registers, as shown in the image below.

  • A new window Download registers - workflow definitions opens, as shown in the image below.

  • In the field Group, the person responsible selects Financials.

  • In the section Import type, the person responsible enables the radio button Add/update.

  • After clicking the button Transfer from server, the full list of workflows that are available on the web server is displayed.

  • The person responsible selects the workflows that will be transferred to the database so that these checkboxes show an orange checkmark, as shown under number 4 in the image below.

  • Then, the person responsible clicks the button Transfer into register, which saves the workflows to the Tecta database.

  • Once the transfer has been successfully completed, the program displays a notification, as shown in the image below.

 

The workflow is now available for use in PANTHEON. The person responsible can run it by clicking the button Run workflow, as shown in the image below.

The workflow for closing the fiscal year guides the person responsible through the whole process. The image below shows the first step that the person responsible needs to take. For a detailed description of how to use the workflow for the year-end process, see the chapter Year-end process.

HINT

Workflow is included in all PANTHEON licences, however, features may vary depending on your localization. You can design your own workflows based on the business processes in your company.
