Minimum Order Quantity and Packaging Order

 

 

In the Items register, which can be found at Settings | Items | Items, click the stock panel to enter information about:

  • Minimum order quantity: enter the minimum quantity required by the supplier for dispatch;
  • Packaging for order: enter the quantity of an item required to fill a transport unit used by the supplier.

If this information is entered in the Items register, it will be used when automatically creating purchase orders. 

If this information is not entered, the automatic creation of purchase orders will merge lines by deliver-by dates (and the selected line note) and will not alter the quantities for purchase orders.

You can use one of these parameters or both. But keep in mind that the program will use the following sequence to search for parameters when creating purchase orders:

  • It will first look for the quantity of the item in the sales orders for an individual deliver-by date, or based on the sorting term selected in the Sort By section;
  • If a quantity is below the minimum quantity, it will increase it to the minimum allowable quantity;
  • If a quantity cannot be divided by the packaging quantity, it will increase the ordered quantity to the meet the packaging quantity.

Let's suppose you have the following data: you have received the following order for the item DVD-R-4/7SONY:

  • The unit of measurement for the item is PCS
  • The minimum quantity is 1000 pieces
  • The packaging quantity is 100 pieces

1. Using Minimal Order Quantities

  • Set minimum order quantity is 1000 pieces. Meaning, the supplier does not deliver orders with the quantity less than 1000 pieces, and each order line with less will be increased to 1000 pieces.

2. Using Packaging for Order

  • The packaging for order quantity for this item is 100 pieces. This means that the item is packaged for shipping in packages of 100 pieces – it must be ordered by quantities of 100 pieces. The program always rounds up!

In the list of lines from sales orders, the actual ordered quantities will be listed:

3. Using Information about Minimum Order Quantity and Packaging for Order

At the beginning it was stated that that the program will use the following sequence to search for parameters when creating purchase orders:

  • It will first look for the quantity of the item in the sales orders for an individual deliver-by date, or based on the sorting term selected in the Sort By section;
  • If a quantity is below the minimum quantity, it will increase it to the minimum allowable quantity;
  • If a quantity cannot be divided by the packaging quantity, it will increase the ordered quantity to the meet the packaging quantity.

If Items register and sales orders contain the following information:

The ordered quantity, merged by deliver-by date:

000001.gif In this case, select None in the Fill Note With section –  the customer and the number of the order will not be entered in the lines of the purchase order. Purchase order lines will not be created by customer or order number, but by deliver-by dates. In this case, you must also select Category, Item in the Sort By section if you would like the lines to be merged by deliver-by dates!

Using the above described procedure, an order with the delivery deadline 4.5.2007 and the quantity of 1.100 pieces will be created:
