Setting authorizations on Archive

For the default PANTHEON Archive and all other Archives that were created for storing different types of documentation, permissions - authorizations must be set.

With authorizations, you determine which users or groups of users can access archives and what they can do with them.

This chapter presents a practical case of setting permissions for the Archive.

CASE SUMMARY

The person responsible wants to set users' permissions for accessing the archive type KADRI that is used for human resources documentation. The person responsible wants to checks the rights of existing users, add new users that want to access the archive, and remove users without access. This is done as follows:

  1. Setting permissions for existing users
  2. Adding new users
  3. Removing users

1. Setting permissions for existing users

From the menu, the person responsible selects Settings | Program | Document types. A Document types register window opens.

The person responsible selects the archive for which the permissions - authorizations are being set.

In this case, the person responsible selects the archive: KADR.

For an overview of authorizations, the person responsible selects the Permissions tab.

A list of existing users and groups of users and their rights for accessing the selected archive opens.

HINT

See the descriptions of individual permissions on archive type in the technical manual.

The person responsible wants to set all the rights for existing user Director Daniel.

By clicking on the Principals list, the person responsible selects user Daniel Director and sets the rights in the Permissions panel by selecting the corresponding fields.

2. Adding new users

The person responsible wants to allocate permissions for accessing the Archive, for new user Wallace Worker that is not yet on the list of users.

To add rights to the new users on the Permissions tab, the person responsible selects the Add button.

A Principals window opens.

From the list, the person responsible selects the new user and adds it by clicking the OK button.

User Wallace Worker is added to the list of users with permissions for the selected Archive.

In line with instructions for setting permissions for existing users, the corresponding rights for accessing the Archive are allocated.

3. Removing users

The person responsible wants to remove existing user Rok Referent from the list of users with rights for accessing the archive.

On the Permissions tab of the selected Archive, the person responsible clicks and marks the user, then selects the Remove button.

The user is removed from the list and therefore loses rights for accessing the documents from the selected Archive.
