Sales order reports

 

Using sales order reports, you can track important business data, search for information that is vital for the management and gain a better overview of how your business is performing.

There are several types of sales order reports in PANTHEON. In addition to selecting the report, you can set various criteria for each report to narrow down the selection of data displayed. The reports can be printed or exported for further analysis.

You can use sales order reports to obtain an overview of:

  • material orders by customer,
  • orders by item,
  • orders by clerk.

This chapter presents an example of how to create an Orders report – detailed in PANTHEON.

CASE SUMMARY

Sally Sales, Tecta Head of Wholesale, wants to review the current status of sales orders. She is interested in the difference between the orders and the realization of the orders for the regular customer CAMPING WORLD Ltd. She only includes the export orders involving Tecta's own products during a certain period in the report. For this purpose, she selects the Orders report – detailed, which she prepares as follows:

  1. Selecting report type
  2. Defining criteria
  3. Selecting document type
  4. Selecting item type
  5. Creating sales order report
  6. Transferring data for advanced analysis

1. Selecting report type

The person responsible opens the menu Orders | Sales order reports.

The window Sales order reports window is displayed.

In the section Report type on the left side of the window, the person responsible defines the type of the desired report. In this case, 103 - Orders report - detailed is selected.

Then, the person responsible defines the criteria for displaying the appropriate data.

2. Defining criteria

In the central section of the window Sales order reports, the Criteria for the report are defined.

In this case, the person responsible is interested in all valid orders for a permanent customer, which were completed in the period from the beginning of 2020 to the end of June 2021.

In the field Customer, a search is performed to find the customer CAMPING WORLD Ltd.

Then, the person responsible specifies the above period in the fields Order date from and Date to.

In the section Valid, the radio button All is enabled to search among all valid orders.

The person responsible then selects the type of document before creating the report.

3. Selecting document type

In the window Document types, the documents to be included in the sales order report are selected.

The person responsible wants to create a report only for orders from abroad, so 0110 - Sales order export is selected as the desired Document type.

The person responsible then selects the type of items.

4. Selecting item type

As a last condition, the person responsible sets the program to only include orders that include our own products in the report. For this purpose, the item type 300 - P - Own product is selected in the window Item types.

HINT

By default, all item types are checked in the window In the Sales order reports. By a simple right click on the Item types section title, you can select the option Deselect all and then select the item type you want to add as a criterion.

5. Creating sales order report

After selecting all the criteria, including document and item types, for the sales order report, the person responsible creates the report.

The person responsible double-clicks 103 - Orders report - detailed or select this caption and clicks the button Report at the bottom of the window Sales order report.

The report is displayed, as shown in the image below.

The report header shows the criteria used for the report.

In the fields Number, Date, Customer, Item, Name, U/M and Price, the person responsible can see the details of the products ordered by the selected customer.

In the fields Ordered, Realized, Remaining, the Quantity and Value of the realization are shown.

Based on the report, the person responsible can establish that all three orders placed by the customer CAMPING WORLD Ltd. have been fully realized. Their total value amounts to 431.804,90 EUR.

Clicking on the (Print) button opens the document for viewing.

HINT

When viewing a report, you can use the drill-through function to click on the document number and open that document in a new tab.

 

If the person responsible wants to analyse the data in more detail, the person responsible transfers the data for an advanced analysis.

 

6. Transferring data for advanced analysis

The data from the selected sales order report can be transferred to an Ad-hoc analysis for an even more detailed and customized data analysis.

In this case, the person responsible wants to analyze the total value of open orders referred to in the previous point in more detail.

This is done by clicking the button Transfer to Ad-hoc analysis. The tab Ad-hoc opens.

The person responsible can move freely between rows and columns in the table in the upper part of the window. The rows and columns that are not needed can be removed from the table.

The bottom part of the window shows a graph that can be edited as desired.

In this case, the person responsible wants to show the value of open orders summarized by items. For this purpose, the person responsible uses the left click to move the object Item from the top row of the table to the field Drop row fields here.

Inversely, the person responsible moves the objects Quantity, Price, Value and Difference to the top row of the table in order to remove them from the table.

This way, only the desired value of the difference by item remains, as shown in the image below.

After editing the table, the desired order value is displayed, summarized by item and accompanied by a chart.

Selecting among the report options, the person responsible clicks the button (Excel Export) to export the data to an Excel file.
