Setting up authorizations for Work records

The display of user data in Work records depends on the settings for authorizations. These need to be defined according to the user's needs. You can select among three types of settings: in the first case, the user may only see and enter their own data; in the second case, the user may see and enter their own data and the data of their subordinates; and in the third case, the user may see the data of all users. The user's Work records in PANTHEON Web Light can be accessed in the module Personnel | Work records | My records.
This chapter shows shows three different types of settings for authorizations for Work records in PANTHEON Web Light.

CASE SUMMARY
The person responsible wants to set up authorizations for Work records for three users. The first user will only be authorized to see and enter their own data. The second user will be authorized to see and enter their own data and that of their subordinates. The third user will be authorized to see the data of all employees. This is done as follows:
- Setting up authorizations – own data only
- Setting up authorizations – own data and data of subordinate employees
- Setting up authorizations – all employees' data

1. Setting up authorizations – own data only
The person responsible wants to set up the authorizations for Work records for the user Pat Purchase.
Pat Purchase may only view and enter their own data.
From the main menu in PANTHEON, the person responsible selects Settings | Program | Administration Panel.
In the window Administration Panel, the person responsible clicks the arrow down icon
to open the following menus: Administration Panel | Users and Groups | PURCHASE – Pat Purchase | Security | Datalab Applications | Datalab PANTHEON Web | PAW – Employees | PAW – Employees – Only own data.
In the field Basic permissions, the person responsible enables the radio button Read.

Then, in the window Administration Panel, the person responsible again clicks the arrow down icon
to open the following menus: Administration Panel | Users and Groups | PURCHASE – Pat Purchase | Security | Datalab Applications | Datalab PANTHEON Web | PAW – Employees | PAW – Work time.
In the field Basic permissions, the person responsible enables the radio button Delete.

In the submodule Work records, the logged-in user can only see their own records showing the timer and the list of work obligations entered. In the field Search, the logged-in user can only select themselves and check only their own details.
2. Setting up authorizations – own data and data of subordinate employees
The person responsible wants to set up the authorizations for Work records for the user Dan Director.
Dan Director may see and enter their own data and the data of their subordinate employees.
From the main menu in PANTHEON, the person responsible selects Settings | Program | Administration Panel.
In the window Administration Panel, the person responsible clicks the arrow down icon
to open the following menus: Administration Panel | Users and Groups | DIRECTOR – Dan Director | Security | Datalab Applications | Datalab PANTHEON Web | PAW – Employees | PAW – Employees – Only own data.
In the field Basic permissions, the person responsible enables the radio button Read.

Then, in the window Administration Panel, the person responsible again clicks the arrow down icon
to open the following menus: Administration Panel | Users and Groups | DIRECTOR – Dan Director | Security | Datalab Applications | Datalab PANTHEON Web | PAW – Employees | PAW – Work time.
In the field Basic permissions, the person responsible enables the radio button Delete.

Next, in the window Administration Panel, the person responsible again clicks the arrow down icon
to open the following menus: Administration Panel | Users and Groups | DIRECTOR – Dan Director | Personal settings | Miscellaneous.
In the section Superiors and employees whom he or she is superior, the person responsible checks the checkbox Employee files.

In the submodule Work records, the logged-in user can see their own records showing the timer and the list of work obligations entered. In the field Search, the logged-in user can also select their subordinate employees and check their details.
3. Setting up authorizations – all employees' data
The person responsible wants to set up the authorizations for Work records for the user Heather Human from the Personnel Department.
Heather Human may see the data of all employees.
From the main menu in PANTHEON, the person responsible selects Settings | Program | Administration Panel.
In the window Administration Panel, the person responsible clicks the arrow down icon
to open the following menus: Administration Panel | Users and Groups | HUMAN – Heather Human | Security | Datalab Applications | Datalab PANTHEON Web | PAW – Employees | PAW – Employees – Only own data.
In the field Basic permissions, the person responsible enables the radio button None.

Then, in the window Administration Panel, the person responsible again clicks the arrow down icon
to open the following menus: Administration Panel | Users and Groups | HUMAN – Heather Human | Security | Datalab Applications | Datalab PANTHEON Web | PAW – Employees | PAW – Work time.
In the field Basic permissions, the person responsible enables the radio button Delete.

In the submodule Work records, the logged-in user can see their own records showing the timer and the list of work obligations entered. In the field Search, the logged-in user can check the details of all employees.
