Adding a New Movement Record

PANTHEON

Records added to the Movement tab are used to document internal transfers between different departments or locations, such as tracking temporary or permanent relocations of fixed assets (FA). For example, when a tool is assigned to another department for a specific project or operational need. 

 

Case summary

Tecta Plc. has recently acquired a second-floor office, which will serve as the new premises for the Human Resources (HR) department. A computer will be temporarily moved to the offices. Person responsible will record the movement in the Movement tab.

This is done as follows: 

  1. Accessing the Movement Tab
  2. Adding a New Record

1. Accessing the Movement Tab

Person responsible opens the Fixed Assets register by navigating to Financials | Fixed Assets | Fixed Assets.

 

The Fixed Assets register opens.

 

The person responsible uses the Toolbar functions to navigate to the FA which will have the movement recorded.

 

Once the correct FA is selected, the person responsible clicks the Movement tab.

In the next step, the person responsible adds a new record to the Movemen tab.

2. Adding a New Record

To add a new record, the person responsible clicks the New Record field, which creates a new entry line.

 

In the new entry line, the person responsible clicks the arrow in the Location field and selects location 010 from the drop-down menu to specify the computer's new location.

For instructions on how to add a new Location see the chapter Adding a New Location

 

Once the location is selected, the Company and Department fields are automatically populated based on the information stored in the Fixed Asset Locations register. 

Additionally, the Date of Issue field automatically populates with the current date, while Quantity field defaults to 1. The Line field is also automatically populated.

 

The person responsible anticipates the computer will be returned in one month and enters the date 25. 8. 2025 in the Expected Return field.

The person responsible also selects Heather Human from the drop-down menu in the Clerk field, indicating she is responsible for the FA movement.

 

To save the new entry, the responsible person presses the keyboard button with the downward-pointing arrow. This action saves the current entry and generates a new line for additional entries.

Hint

Note that the second line created by pressing the downward arrow is not automatically saved and will not be visible once the person responsible moves out of the Movement tab. It can also be immediately removed by pressing the upward-pointing arrow key on the keyboard.

Person responsible has recorded the movement of the computer and saved the entry.
