Using Batch Serial Numbers: An Example

Assigning Batch Numbers (Type K)

Select type K - One S/N is Multiple Pieces (batch) for serial number tracking in the Items register.

For example let us take a look at importing medicine. Here the serial number represents lot number, as marked by the supplier. You can add expiry date and any additional data. The only restriction is that it cannot exceed 100 characters.

The batch number can be:

  • simple, you can enter the serial number on-the-fly and it is not linked to any register (as described in this example),
  • selected from the Product Variants register (for more information see assigning product variants - type P). The latter type is more suitable when dealing with a limited and known quantity of batch numbers which you are receiving (e.g. size numbers for clothes and footwear).
  • generated serial number with the set maximum allowed length (for more information see assigning compound serial number (batch) - type O).

 

For simplicity's sake we use a two-digit ID in the example. Let us thus say that on September 25, 2007 you received 5 pieces of item with serial number (lot number) 12 and 5 pieces of the same item with the serial number (lot number) 13. On the same day you sell 1 piece of item from series 12.

 

1. Receiving

After having entered the quantity received, a window for entering serial numbers is opened.

Enter the following:

  • serial number
  • and the quantity of serial numbers you received. Unlike unique serial numbers where the quantity of serial numbers equals 1, here you have to enter quantity of all batch numbers (batches and lots).

2. Issue

When having entered quantity, a window for viewing and selecting serial numbers of issue is opened. On the right-side you can see available serial numbers and on the left-side serial numbers that you linked with the issue document.

Serial number for issuing can be selected by doubleclicking the available one: by doing this you link it with the issue document. If you enter the same batch number more than once, the issued quantities are added up in the right column.

Unlike unique serial numbers where the quantity of specific serial numbers equals 1, here you have to enter quantity of all batch numbers.

When you exceed the required amount of serial numbers, this message will appear:

You can also enter serial numbers in the field that can be found on the right side. If the given serial number is not available, the following error is returned:

You can view and check availability of serial numbers in the Items register.

 

000001.gif You can delete individual records in the window for entering serial numbers by using the following 005059.gif 005054.gif key combination.
000001.gif Having selected autoassigning in the document type of issue, serial numbers get assigned automatically in the ascending order.
