Table of classifications

On the Classification Scheme form, all created or downloaded classifications of the company are displayed.

HINT

Classification is the sorting and grouping of documents based on same or similar characteristics. In addition to the classification and grouping of documents, it also determines the handling of documents. It determines in which storage this document will be kept/located, how long it will be kept, etc.

At the top of the table there is a field through which we can search for classifications.

Input field

Enter the name or number of the classification you are looking for in the field. The program will show us the search results with all hits that contain what you entered.

By clicking on the button, the program will show us the next hit in order if there are more search results.

(Next)

By clicking on the button, if there are more search results, the program will display the previous result in order.

The table shows the basic data of the classification, the type of material, the validity of the classification and the designated responsible person for each classification.

In the table we find the data of the company's classifications entered in the section Basic data:

ID

The alphanumeric code of each classification is displayed in the field.

Material

The field contains a description or the name of the individual classification.

Type of Material

The selected type of material is displayed in the field. There are three preset types:

  • Archive material - is documentary material that has lasting significance for the business long after its creation (e.g. registry data, land data …)
  • Permanent documented material - are all types and forms of records that were created or received in the course of the business of legal and natural persons, which are not considered archival material by law, but have a statutory retention period
  • Other material
HINT

Rules on archiving or storage of material for an individual activity or the type of material is governed by The Law on Archival Material and Archival Activities (ZVDAGA).

Workflow

The field contains information about the workflow that will be run when a document is classified with this classification.

Validity

The validity period of the storage of the documents on individual classification is entered in this field.

Validity Period

The field contains the selected time unit of validity of the documents stored at a certain classification.

Person Responsible

The selected person responsible for a certain classification is written in the field. It was selected in the field Person Responsible in the Basic data section, from the drop-down list of the register of Subjects - Contacts.
