When coding, we can also use information from another field in the code: tax number, registration number.

CASE SUMMARY

The company deals with natural persons and often has clients with the same names. To avoid the problem of duplicate data, they will include the person's tax number in the entity code. Before the responsible person starts entering the entity codes into the entity code list, he/she will make the non-configuration in the Admin Console.

  • The person in charge clicks on the Settings menu | Program |Admin panel | Settings | Entities.

  • In the Generate entity number section, in the Constant field field, enter the name of the tax number field. This is in our case: accode.

  • In field Field Length enter the length of the digits for the code code: 10.

With this setting, the responsible person has defined an automatic, 10-digit coding in the entity code list, which will include the person's tax number. He now continues his work by entering the codes in the Entity Code List.

  • In the Entity Identifier, click on the Enter record button.

  • The program prints a question mark in the Code field of the subject.

  • The responsible person continues to enter data in the remaining fields.

  • When you have finished entering, click on the Save button. Then the software automatically assigns a code in the Entity code field, which includes the person's tax number.

WARNING
  1. Constant numbering is more appropriate for the Identity Code List than for the Partner Code List.
  2. In case the numbering depends on a record in the code list, it is mandatory to enter this record, otherwise the program will not generate the number and will report an error. In our case, it is mandatory to enter the tax number. If it is not entered, the program reports an error (see You must enter the XXX field, which is the basis of the numbering!).
