Tab Criteria in Debt Collection

The data displayed on debt collection can be limited by using the criteria described below.

Customer account
|
Select the customer account with the records of outstanding items. By default, this is the first customer account from the parameters (Administration Panel | Program parameters | Financials | General).

Account
|
Except for the primary account from the previous field, the outstanding items balance can also be found in the additional, secondary account. This way, you can simultaneously search in the outstanding items of the customer account as well as in the account of set-offs in progress.
|
Subject
|
Search can be limited by by individual customer.
|
Name 2
|
Search can be limited by by Subject name 2.
|
Subject type
|
Search can be limited by by subject type.
|
Status
|
Search can be limited by subject status. The available statuses include:
B – Subject is Blocked
D – Subject is Partly Blocked
F – Subject is Inactive
L – In Liquidation
P – In Compulsory Liquidation
S – Subject has Filed for Bankruptcy
T – Subject is Active
Z – Being Sued

Department
|
The report can also be limited by individual department entered in the journal entry line.
|
Due date to
|
Enter the end date that is due for individual posts (document or document payment). If this data is not entered, all outstanding items or posts are considered.

Document
|
The report can be limited by the internal document ID. Remember that you can use the % function to limit by the report in a different way.

Linked doc.
|
The report can be limited by the linked document ID.
|
Minimum Amount
|
Enter the minimum (absolute) amount of outstanding items that you want to include in the overview. The default value is 0.

HINT
For example, a minimum amount of 50.00 means that PA will search for all outstanding items where the open value per document is greater than 50.00.

|
Max Amount
|
Not in use.
|
Clerk
|
The report can be limited by clerk to show those items that have the selected clerk.
|
Exclude Set-Offs in Progress
|
If checked, the program excludes sets-offs in progress from the report.
|
Exclude Closing Entry
|
If checked, the program excludes the closing entry from the report.
|
Exclude Grace Period
|
Excludes the items for the partner according to the grace period defined in the settings.
|
Statuses on journal entry
|
From the drop-down menu, select one of the following statuses on a journal entry:
1 – Error
2 – Uncleared
3 – Check with a superior
4 – Check the account
|
Amounts
|
If posts in the foreign currency are allowed for this account, you may select which currency will be used when creating the report:

Select the type of outstanding items:

Use Date
|
Select the date that will be used:
- From Document
- From Period
|
Overview Type
Debit Balance
|
If checked, the report of the outstanding items with the debit balance is displayed.
|
Credit Balance
|
If checked, the report of the outstanding items with the credit balance is displayed.
|
Show Last Calls
|
If checked and if you have entered in the field on the right the time period (number of days), which passed since the last successful contact with the debtor, these same debtors are colored green in the Debt collection tab.
If unchecked, and the time period (number of days), which passed since the last successful contact with the debtor, has been entered, these same debtors are not displayed in the Debt collection tab.

Show All in Between
|
If checked, the debtors, which do not meet the criteria from the option Show last calls nor Not contacted since, are included in the list. Such entries are colored black.
If unchecked, these same debtors are not displayed in the Debt collection tab.
|
Not Contacted Since
|
If checked, and the number of days since the debtor has been last contacted has been entered in the field on the right, then these same debtors are colored red in the Debt collection tab.
If unchecked, and the number of days since the debtor has been last contacted has been entered, these same debtors are not displayed in the Debt collection tab.

Doc. Type for Intrst.
|
Select the document type for Intrastat.
|
After you entered all the desired limiting criteria, move to the Debt collection panel to see the results and enter notes if required.
