Leave Parameters panel is for tracking employee leave.  You can start a new yearly calculation, check the formula and print reports.

This chapter cowers the following topics:

Table of contents

  1. Calculation Method
  2. Leave Parameters
  3. Length of Service and LAsst Year's Leave
  4. Leave Formula
  5. Leave History

1. Calculation method

You can calculate leave in two ways. Depending on the calculation method, you have available different information to enter or select:

  • If you select Entered Data, the program will calculate data according to the entered data in the Leave Parameters section.
  • If you select Formula, the program will calculate leave according to the entered formula in the Leave Formula section.
Warning

If you set the Null Authorization for the Leave Type, the user will have no access to the Absence panel of the employee files!

2. Leave Parameters

Hint

You can access this information if you have previously selected the Entered Data option to calculate leave.

Length of Service In this field the program will enter the number of days for leave. The program will calculate this leave according to the regular length of service and without the length of service increased. Click the Calculate button and a special window will open, through which you can calculate this information. The program will automatically fill in the Employee field the currently active employee from which you have activated this function for calculating. For additional information read chapter Calculate Annual Leave.
Work Difficulty In this field you can enter the number of days for leave the employee will receive due to difficult work conditions (in this field the program will also transfer leave the employee received as bonus for work conditions which you have previously entered in the Positions of Employment register).
Children In this field you can enter the number of days for leave the employee will receive considering the number of children.
Disability In this field you can enter the number of days for leave the employee will receive considering his or her disability.
State of Health/Social Cond. In this field you can enter the number of days for leave the employee will receive considering his or her state of health and social conditions.
Bonus In this field you can enter the number of days for leave the employee will receive as bonus.
Total Here, the program will display the total number of days for leave. It will be calculated as a sum of data entered in the Leave Parameters section.

3. Length of Service and Last Year's Leave

Employment Start
(your company)
The program will enter this field automatically according to employee's data in Employment record panel.
Date for Calculation In this field the program will enter the date for the calculation of the year of service as you have previously defined in the Program Parameters. If you would like to know the length of service to a certain period, just simply change the date in this field.
Leave can be Used From Date in this field presents a limit. An employee can start to use leave after this date. If he or she would like to use the leave before this date, the program will display a warning that there is a restriction in using the leave, but will allow you to enter the leave anyway. If there is no employment termination, the program will offer the restriction automatically, namely, 6 months after the employment start. If there is no employment termination, the date will be the same as the date of the employment start. In order to use this function correctly, the Employment Start and End Date fields in the Employment Record panel must be defined. You can change the date if required.

WARNING

If you change the date in the Employment Start field and the date differs to the date in the Employment Start field in the Employment record panel, the program will report a warning:

Define 'Leave can be used from' field:

Length of Service for Leave In this field the program will enter the total length of service (in your and other company) according to date that you have entered in the Date for Calculation field.
Last Year's Leave

At the end of the year, the program will transfer employee's unused leave in the Last Year's Leave field. You can define the date to which the employee has to use this leave in the Administration Panel | Settings | Program Parameters | Personnel | Leave panelIf this validity date differs from employee to employee, you can delete this last year's leave by selecting Delete Last Year's Unused Leave option in the Wizards menu

Once, you have selected the option, a special window for deleting the leave will open. The program will fill in data of the currently active employee from whom you have run the function for deleting. For additional information read chapter Delete Last Year's Unused Leave!

4. Leave Formula

Formula Choose the formula from the Leave Formulas register .  You can access this register by double-clicking formula field.  If the formula is not chosen, then the program will use the formula entered in Positions of Employment register under General in the Leave Formula field.  If it is also not set there, then the program will use the formula specified in Administration Panel | Settings | Program Parameters | Personnel | Leave.
Bonus We enter the number of days that we recognize for the employee as additional vacation days.
Data Shows the individual data for all the lines that are set in the Leave Formulas register.
WARNING

You can specify the number of additional working days due to working conditions in the job records.  It is then taken into account when calculating leave.

5. Leave History

In this section of the panel you can see the history of the employee's leave for previous years. It has data of the leave that has been entered and leave that has been calculated by the formula. In the table is also the Last Year's Leave column, where you can see the unused leave from the previous year. In the last Total column, you have the sum of all fields for the leave of one year. In this table you can only check data, but cannot change them.

By using the key combination 005059.gif and 005054.gif, you can delete lines from the history of leave table.
