SMS and Email Notification Service from Reports (use case)

SMS and email notification from reports such as Purchase Order Reports, Sales Order Reports, Serial Number Reports, etc. enables notifying the business partners by selecting criteria such as item for example.

This chapter shows an example of notification from Purchase order reports.

CASE SUMMARY

The price of the LARA3 tent has changed, so the person responsible wants to inform the interested persons about the price increase. This can be done by the following steps:

  1. Selecting valid customer orders
  2. Search criteria
  3. Message editing
  4. Sending email and SMS message

 

WARNING

For the correct functioning of SMS and email notification services the following settings must be determined.

The settings setup is a one-time process. If you have already completed it, you can skip this step.

1. Selecting valid customer orders

For the selection of valid customer orders that are connected with the purchase of the LARA3 tent, the person responsible opens the window Purchase Order Reports.

In the menu the person responsible selects Orders | Purchase Order Reports.

2. Search criteria

Then the person responsible enters the search criteria of potential buyers of the LARA3 tent.

They select Report Type 100 - Orders Report - Summary by Subjects.

In the Document Types section the person responsible selects all document types that have the order of the aforementioned tent.

In the Item field the person responsible types in: LARA3.

When the criteria are selected, the person responsible clicks the Send notice by email button.

HINT

The Send notice by email form appears on many forms.

3. Message editing

The Sending notice by email window opens up.

In the left side of the window the Subjects for which the orders are created show up.

HINT

The Email and GSM number information is copied from Subjects.

In the sender field, the default email address from email settings is written out.

The person responsible can type the sender's message into the Specification Text field or select Template.

HINT

You can read the instructions for creating a template in the Creating a template for email and SMS notifiation service chapter.

 

In this case the person responsible selects the desired template from the drop-down list: Price change LARA3.

When choosing the template, the Subject and Specification Text fields will be filled out automatically, as is shown in the picture below.

4. Sending email and SMS message

The prepared message can be sent to the chosen subjects as an email or as an SMS message.

To send the message via email, the person responsible selects the Send email button.

To send an SMS message, the person responsible selects the Send SMS message button.

 

WARNING

To copy data about the email and GSM number from the Subjects register, Select E-Mail Addresses must be set.
