Accounting firms

Accounting firms may have a combination of PANTHEON LX/LT/SE/GE/ME/MF licensing models and may make their PANTHEON available to their customers via a terminal server.

WARNING
  • The user must be registered for and carry out the activities of an accounting firm. Mixing license models for users other than accounting firms is not allowed.
  • For such program operation, the accounting firm requires a virtual private network (VPN).
  • For such program operation, it is necessary to specify the type of license to be run using the PANTHEON command line.
    For more information, see the instructions in the chapter Command line parameters.
  • When using the terminal access, you need to pay attention to the naming of the workstation. For more information, see the chapter Windows Terminal server.

  1. Licensing for multiple serial numbers
  2. Accounting firms, holding companies – use of licenses from another database

1. Licensing for multiple serial numbers

Here is a typical example of an accounting firm. It needs 5 ME licenses for their own business operations. In addition, it has:

  1. 3 companies that need 3 LT licenses for themselves and the accounting firm pays full price for them;
  2. 1 company that needs 4 SE licenses for themselves and the accounting firm pays full price for them;
  3. 1 company that needs 7 ME licenses for themselves and the accounting firm pays full price for them;
  4. 1 company that needs 14 MF licenses for themselves and the accounting firm pays full price for them.

In this case, license configuration is as follows:

PANTHEON license holder: ACCOUNTING FIRM LTD.

Location name
(name of registered user)

Total licenses:

33

The total number of concurrent users on the server is 28 customers and 5 accountants.

WARNING
  • All the above licenses are purchased by and registered with the accounting firm. The upgrade contract is concluded for the entire package (all licenses) at the same time.
  • Although accounting firms can combine licenses, it is not possible to combine different master licenses for the same serial number.

2. Accounting firms, holding companies – use of licenses from another database

Often, a need arises for a user to work in one database but to use a license from another database. This happens frequently with accounting firms that have their own databases and users connected via terminal servers, or with PANTHEON Cloud, where the accountant and the customer both use the same cloud server.

Here is an example of a user (Company 2, User K1) with an LT license and an accounting firm (User A1) with an ME license.

The accountant would like to connect to the customer's database and post the customer's statements, while the client must retain unrestricted access/operation to their LT license during this time.

WARNING

In such a licensing model, all databases must be on the same SQL server, more specifically, on the same SQL server instance.

The correct license activation forms and correct assignment of databases and created users for such use case are as follows:

PANTHEON license holder: ACCOUNTING FIRM LTD.

Location

Location name
(name of registered user)

Total licenses:

9

As shown in the above examples, the two users from the accounting firm use their own licenses to connect to the customer's databases.

The accounting firm has two users, A1 and A2, where A1 takes care of companies 2, 3 and 5, while A2 takes care of companies 4 and 5.

In the company databases 2, 3, 4 and 5, the corresponding accounting users need to be added. Then, it should be specified that even when the accounting users are logged in to a different (not their own accounting firm's) database, they use the accounting firm's licenses in their work.

This is done by specifying in the Administration Panel that this user uses the licenses from the database that is specified with the parameter Database to use licenses from. In this example, the user A1 in DB2, DB3 and DB5 will be set to use the licenses from DB1, and the user A2 in DB4 and DB5 will likewise be set to use the licenses from DB1.

This optimizes the operation of the whole system. Customers will have their licenses of the desired type always reserved for their work. The accountant transfers their license (and with it their license type, e.g. the ME license used to provide accounting services for the LT customer) and does not need to use the licenses of their customers.
