Files

In the Files tab of the Documents form, all files belonging to the selected document are displayed. Here, you can add files, such as contracts, price lists, pictures of articles, delivery notes, etc.

The tab contains the following items:
Add document

By clicking on the button, the document scanning form opens. Through this form, the document can be scanned or added from any folder. After confirmation, the document is attached to the file tab.

HINT
Files can also be added by dragging and dropping them into a field from a file on the local disk.
- If a file is dropped to an existing document, classification and subject data on the Scan form are displayed as on the existing document.
- If a file is dropped on a form (not to existing document) then new document is created. Data on the Scan form is empty.

Files can also be added directly from the Email application by dragging and dropping them into PANTHEON. It is possible to drop attachments from Email to PANTHEON or to drop complete emails to PANTHEON. It works with a email applications but not online email applications. If importing multipe emails and there are attachemnts or email subject name with the same name, names are modified and _01, _02, etc. suffix is added.
- If a file is dropped to an existing document in the DMS module, classification and subject data on the Scan form are displayed as on the existing document.
- If a file is dropped on a form (not to existing document), then a new document is created. Data on the Scan form is empty.

HINT
Files can also be added directly from PANTHEON Documentation form by dragging and dropping them into Windows Explorer or Outlook e-mail. When dropping files to Explorer, files are copied to selected folder. When dropping files into Outlook, a new email with attachemnts is created. It works with an E-mail applications but not WEB E-mail applications. E-mail Thunderbird is not supported.
- You can select document and drag it to Explorer or Oulook. All files for selected document will be processed.
- You can select one or several files in Files grid and drag it. Only selected files will be processed.

HINT
- By pressing SHIFT and clicking on the Add Document button, the file is added to the current document.
- Clicking on the Add Document button, a new document is created and the file is added.

Add Files
|
Clicking on this button opens the windows browser form where you can select and add files. The browser form can also be opened with the INSERT keyboard button. |
History
|
By clicking this button, a Files History form is opened, where you can review the changes made to the document's files.
History tracking or versioning can be set up in Classification scheme in General Information section.

By clicking this button, link between files and storage is verified. If link can not be found, meaning a filename of a document was changed, the document cannot be loaded as a preview and an error message is displayed as hint.

File name
|
The name of the linked file is written in the field. When adding or viewing password protected .PDF, a form is opened where you enter password for encrypted file:

HINT
File names should not contain spaces or any special characters such as /, ", $, &, etc.

File ID
|
The sequential code is entered in the field when the file is imported.

Document ID
|
The sequential code is entered in the field when the document is imported.
