Included Fixed Assets

 

The Included Fixed Assets tab provides a list of all fixed assets (FA) for which depreciation has been calculated during the selected period. It displays key accounting details related to each FA, including financial values, assigned accounts, and detailed depreciation information

This tab enables the person responsible to verify that every FA intended for depreciation has been properly included in the calculation process. By reviewing the list, any missing FAs or discrepancies can be identified and addressed before confirming and posting the Calculation.

 

The Included Fixed Assets tab can be accessed by double-clicking the Dep. Number (Depreciation Number) field within the AR00 – Depreciation/indexation of fixed assets module.

The Included Fixed Assets tab is divided into two sub-tabs, each containing overview of a different type of depreciation:

  • Depreciation: Shows details related to the business or accounting depreciation calculated for the FAs.
  • Tax depreciation: Displays information related to tax depreciation, which may differ from business depreciation due to tax regulations and rules.
Warning

Both sub-tabs share the same field structure and data types, so the descriptions and explanations provided in this guide apply equally to both the Depreciation and Tax Depreciation sub-tabs.

 

They consist of the following functional units:

Inventory No.

(Inventory Number)
Displays the unique Inventory Number assigned to the FA, enabling clear identification of the FA for which depreciation has been calculated.
Entry Type

Shows the identification number of the most recent Entry Type recorded in the Value tab, helping identify the most recent action performed on the FA.

 

Hint

Each Entry Type corresponds to a specific kind of accounting action or event related to the FA. For example:

  • When depreciation is calculated for the first time, the Entry Type field will typically show number 1, representing the acquisition of the FA, which is the initial transaction recorded in the Value tab.
  • Subsequent depreciation calculations are recorded with different Entry Types, the most common being 21, which denotes depreciation entries related to acquisition accounts.
Line

Represents the total number of Line entries recorded up to the current depreciation Calculation in the Value tab. It provides a quick overview of how many accounting entries have been entered for the FA and which will be the next Line for depreciation calculation.

 

Hint

For example:

  • A newly acquired FA will typically have only one line (Entry Type 1 - Acquisition), so the field will show the value 1 when depreciation is calculated for the first time.
  • As depreciation is calculated periodically, each calculation adds a new line entry. A FA with one acquisition entry and five subsequent depreciation entries will have the number 6 in the Line field..

Purch. Value

(Purchase Value)
Displays the original Purchase Value of the FA, as entered in the Cost field in the Accounting tab. It represents the initial acquisition cost of the FA, excluding any subsequent depreciation or adjustments. This value serves as the basis for calculating depreciation.
Write-Off Value

The accumulated depreciation amount automatically calculated and recorded in the Accumulated Depreciation field within the Value tab.

This figure reflects the total depreciation expense recognized on the FA to date, representing the portion of the FA’s Purchase Value that has been written off over its useful life.

 
Status

Indicates the current Status of the FA, such as AK (Active).

This information is set in the Status Field on the Value tab and is used to track whether the FA is currently in use, disposed of, or otherwise inactive, as this affects depreciation Calculation.

Account FA

(Account Fixed Asset)
Represents the general ledger account used for capitalizing the purchase cost of the FA.

Account DR

(Account Debit)
Specifies the debit general ledger account associated with the acquisition or cost of the FA. It is the account where the FA’s purchase value is initially recorded when the FA is capitalized.

Account CR

(Account Credit)
The credit general ledger account linked to the acquisition or financing of the FA. This account typically represents the source of funding or liability associated with the FA purchase.

Deprec. Account DR

(Depreciation Account Debit)
Identifies the debit account used when posting depreciation expenses. It is where the depreciation expense is recorded on the debit side during each depreciation Posting.

Deprec. Account CR

(Depreciation Account Credit)
The credit account associated with accumulated depreciation. Depreciation amounts are credited here, representing the reduction in the FA’s book value over time.

Revaluation Acct. DR

(Revaluation Account Debit)
The debit account used when posting increases in FA value due to revaluation. This account reflects upward adjustments to the FA’s book value.

Revaluation Acct. CR

(Revaluation Account Credit)
The credit account for posting decreases in FA value due to revaluation. It captures downward adjustments or impairments recorded against the FA’s book value.

Prev. Purch. Value

(Previous Purchase Value)
If the purchase value changed between depreciation Calculations, this field shows the purchase value from the previous calculation.

Prev. Write-Off Val.

(Previous Write-Off Value)
Displays the Previous Write-Off Value recorded from the prior depreciation Calculation. This represents the total depreciation expense that has already been charged against the FA up to the previous period.
Months

Indicates the number of Months covered in the current depreciation Calculation.

For example, it will show 1 for monthly depreciation or 3 for a quarterly calculation.

Min. Deprec.

(Minimum Depreciation)
Represents the calculated amount of accounting depreciation, determined using the depreciation rate assigned to a particular FA in accordance with the company's depreciation policy and applicable accounting standards.

Activity-Based Depr.

(Activity-Based Depreciation)

Displays the depreciation amount calculated based on the actual usage or activity of the FA during the selected period (e.g., hours operated, kilometers driven).

 

Hint

It is automatically calculated if Activity-Based Depreciation is enabled in the Accounting tab.

Accelerated Depr.

(Accelerated Depreciation)

Displays the depreciation amount calculated using the Accelerated Depreciation method, if this method has been selected in the FA’s Accounting tab.

Accelerated Depreciation results in higher depreciation expenses in the earlier years of a FA’s life, reflecting a more rapid initial loss of value.

Deprec. Categ.

(Depreciation Category)
Shows the Depreciation Category assigned to the FA in the Accounting tab. This category determines the depreciation rates, methods, and rules applied during the calculation.
Department Indicates the Department assigned to the FA in the Header. This allows for tracking depreciation costs by organizational unit.

Days Deprec.

(Days Depreciation)

Reflects the total number of days for which depreciation is being calculated within the selected period. This is derived from the Period From and Period To fields in the Calculation tab.

For example, if depreciation is calculated monthly for May, this field will show 31 days.
