Profit Margin Reports

WARNING

You can access profit margin reports by opening the Invoices Issued/Profit Margin Report window and clicking the Gross Margin tab.

Profit margin reports provide overviews of the difference between the sale price (from issue document lines) and the valuation price (also from issue document lines).

For reports of revenue received (reports 283 to 289), the documents that you would like to include in the report must already be posted and at least partially paid, because these reports provide information about revenue received in the specified account for receivables from customers.

For all other types of reports, the only requirement is that invoices exist that meet the selected criteria.

You can use a number of criteria to limit information in the report (if criteria are not selected, all issue invoices will be included in the report).

2. Criteria

In the Criteria panel, we define the conditions by which we want to limit the output of the report. It is divided into several tabs:

  • Criteria
  • Table view
  • Custom Fields - Items
  • Custom Fields - Subjects
  • Custom Fields - Cost Centers

 

2.1 Criteria

Packing Slip from Select a packing slip date if you would like to limit the report using this criteria.
Packing Slip to Select a packing slip date if you would like to limit the report using this criteria.
VAT from Select a VAT date if you would like to limit the report using this criteria.
VAT to Select a VAT date if you would like to limit the report using this criteria.
Days in Week Select a Days in Week if you would like to limit the report using this criteria.
Invoice from  Select an issue invoice date if you would like to limit the report using this criteria.
Invoice to Select an issue invoice date if you would like to limit the report using this criteria. 
Weeks in Year Select a weeks in Year if you would like to limit the report using this criteria.
Item

Select one or more item IDs if you would like to limit the report to a single item or some selection of items. For this field and all fields described below, the program will include all records in the report if criteria are not entered (a field is left blank).

You can also enter a partial ID with a with the % wildcard (for more information see Wildcards).

Name

Select one or more item names as entered in document lines, if you would like to limit the report to a single item name, or some selection of items' names. The name of an item that appears in documents is not necessarily the same as the name listed in the Items register (for more information, see Issue Document Lines)!

 

WARNING

The Item ID and Name fields are not linked, meaning that both fields will be used as report criteria if information has been entered! the program will take information about item names from the document lines, where it is possible for the same item to appear under different names. For this reason, report may differ depending on whether item ID or item name is used as a criteria.

 

External ID Select an external ID if you would like to limit the report to a single external ID as entered in the Items register.
Status Select an item status if you would like to limit the report to items with a particular status:
  • Blank field (all) - All items will be included, regardless of status. If you would like to report items regardless of status, leave this field blank.
  • Active - Only active items will be included in the report (items with the Active option selected in the Items register)
  • Inactive - Only inactive items will be included in the report
External ID Select an external ID if you would like to limit the report to a single external ID.
Primary Categ.

 

Select a Primary category if you would like to limit the report to ta single item category. If a category is entered here, only invoices with items of the selected category will be included in the report.

If in criteria one Item Classification is selected, on the report header should be shown both Classification Code (acClassif) and Classification Name (acName). If more than one - 2 or more classifications are selected, then on the report header should be shown only Classification code.

Sec. Categ.

Select a Secondary category if you would like to limit the report to a single secondary category.

If in criteria one Item Classification is selected, on the report header should be shown both Classification Code (acClassif) and Classification Name (acName). If more than one - 2 or more classifications are selected, then on the report header should be shown only Classification code.

Buyer Select a buyer if you would like to limit the report to a single buyer from the document header.
Customer Type

Select a customer type if you would like to limit the report to a single customer type. This is useful if you would like to see how much you've sold to a certain segment of the market.

Country Select a country if you would like to limit the report to selected countries where your company sells goods. Information about a subject's country can be found in the Subjects register.
Region

Select a Region if you would like to limit the report to selected region where your company sells goods. Information about a subject's region can be found in the Postal Areas.

Prsn 3

Select Prns 3 if you would like to limit the report. The default 3rd party for this document type.

Consignee You can create a report not only for a customer (payer) from the header of goods documents, but also for a consignee.  The default consignee, this is usually the customer. 
Consignee Type

Select a consignee type if you would like to limit the report to a single consignee type. This is useful if you would like to see how much you've sold to a certain segment of the market. 

Country Select a country if you would like to limit the report to selected countries where your company has consignees. Information about a subject's country can be found in the Subjects register. 
Region Select a Region if you would like to limit the report to selected region where your company sells goods. Information about a subject's region can be found in the Postal Areas.
Supplier Select a supplier if you would like to limit the report to a single  primary supplier of goods that you have sold.
Supplier Type Select a supplier if you would like to limit the report . Select type of subject.

Supplier – It is recorded in the Suppliers register.

CIS Select a CIS ID if you would like to limit the report by customers' CIS ID (Classification of Institutional Sectors). A customers CIS ID is entered in the Subjects register.

Wildcards can be used here. S.1%, for example, means all domestic subjects, S.2% means all foreign subjects, and S.211% means all subjects from the EU, etc.

Warehouse Select a warehouse is you would like to limit the report to a single issuing warehouse from the heaader of issue documents
Departments Select a Departments if you would like to limit the report to a single document entered in document lines.
Cost Ctr. Select a cost center if you would like to limit the report to a single document entered in document lines.
Linked Doc. 1 Select a linked document if you would like to limit the report to a linked document 1 (order slip, for example).
From (Linked Doc. 1) Select a date for linked document 1 if you would like to limit the report by linked document date.
To (Linked Doc. 1) Select a date for linked document 1 if you would like to limit the report by linked document date.
Linked Doc. 2 Select a linked document if you would like to limit the report to a linked document 2 (order slip, for example).
From (Linked Doc. 2)  Select a date for linked document 2 if you would like to limit the report by linked document date.
To (Linked Doc. 2) Select a date for linked document 2 if you would like to limit the report by linked document date.
Document No. Select individual Document number if you would like to limit the report by Number document. 
Sell To Select a sell to method if you to limit the report to a single sell to method from documents. You can limit the report to:
  • All (Blank field) - all issue invoices, regardless of the sell to method. If you would like to include all sell to methods in the report, leave this field blank
  • VAT registered - only invoices issued to VAT registered persons will be included in the report
  • Export - only invoices for exports will be included in the report
  • End customer - only invoices issued to end customers will be included in the report
  • Private - only invoices issued for own use of the private type will be included in the report
  • Non-business - only invoices issued for own use of the non-business type will be included in the report
  • Own use - only invoices issued for own use of the own use type will be included in the report
Delivery Method Select a delivery method if you would like to limit the report to a single delivery method from issue invoices.
Pay. Method

Select a Payment method if you would like to limit the report to a single payment method from issue invoices

If the payment method is entered in criterium, the payment method from the cash register is viewed for wholesale documents. If the payment method is not entered in criterium on wholesale documents, the payment method is shown from the head of the document for wholesale document.

Person Res. The person responsible for the document. Depending on the settings that you've entered, the program will either enter the user logged into the program or the responsible person entered in the customer's entry in the Subjects register.
Clerk Select a clerk from issue documents if you would like to limit the report to a single clerk.
1st Signatory Select  1st Signatory if you would like to limit the report by 1st Signatory .  The 1st Signatory is from the sales document types part Signatories.
2nd Signatory Select  2nd Signatory if you would like to limit the report by 2nd Signatory .  The 12nd Signatory is from the sales document types part Signatories.
3rd Signatory Select  3rd Signatory if you would like to limit the report by 3rd Signatory .  The 13rd Signatory is from the sales document types part Signatories.
Terms Select a delivery terms ID if you would like to limit the report to a single delivery terms ID from issue documents.
Text Select a text ID if you would like to limit the report to a single text ID from issue documents.
Place of Delivery Select a place of delivery if you would like to limit the report to a single place of delivery from issue documents.
Document Status Select a status if you would like to limit the report to documents with a particular status:
  • All/Blank field - all documents, regardless of their status. If this field is left blank, all document statuses will be included in the report.
  • Confirmed - only documents that have been confirmed will be included in the report
  • Unapproved - only documents that have not been approved will be included in the report
VAT Rate Select a tax rate if you would like to limit the report to a single tax rate entered in the document lines.
For Currency Select a currency if you would like to limit the report to a single currency that a documents have been created in. Using this criteria you could, for example, limit the report to invoices issued in U.S Dollars.
Convert to Currency Select the code of the currency in which you would like to show the information in the report. You can create an invoices issued report in any currency for which yoiu keep updated information in the Banks register. You can, for example, convert all invoices issued in a given period into Euros, regardless of the currency used in the invoices (see Invoices Issued Report in a Foreign Currency).
Bank for FCY Documents Select which exchange rates will be used by the program to convert foreign currency documents.
  • Exchange Rate for Price List – the bank for price list selected in the Program Parameters will be used
  • Bank of Slovenia – the exchange rates of the Bank of Slovenia selected in the Program Parameters will be used

 

WARNING

If you would like to convert invoices to another currency (see Gross Margin Report - Convert to Currency field), the values and prices will be converted to the desire currency using the selected exchange rates (the Bank for FCY Docs. field).

  • Exchange Rate for Price List (see Program Parameters | Company | General)
  • Bank of Slovenia (see Program Parameters | Company | General)

The date that will be used for the conversion will be determined the same way it is when entering issue invoices: the date for the exchange rates is usually the date of the invoice. You can specify a different date at Program Parameters | Goods | General

 

Account from Line Select account from Chart of Accounts if you would like to limit teh report to a single account.
Use Secondary Subject type If this parameter is checked, program collected data for customer type defined by subject in general data of Subject. If parameter is not checked program collected data just for primary customer type defined by subject in general data of Subject.
Prefix Choose Prefix the Positive, Negative or All (both) values of the positions of the documents (anForPay) that will be shown on the report.
Carrier

Select the currier that were used on the issued invoices. Select the currier of the goods from the Subject register. 

Transporter
 
Select subjects that were used as transporters on issued invoices
Custom Tariff Select the customs tariffs that were used on the issued invoices.
Displays as a table view.
Displays Ad-Hoc analyses

This button will generate an invoices issued report using the selected criteria.

 

HINT

With the functonality   in the Criteria fields we can select multiple options within one field. For example, multiple countries, multiple regions,...

2.3 Custom Fields - Items

Custom Fields - Items Select an entry in an item's custom field if you would like to limit the report to a single entry in a custom field in the Items register.

 

2.4 Custom Fields - Subjects

Custom Fields - Subjects Select an entry from a subject's custom field if you would like to limit the report to a single entry in a custom field in the Subjects register.

 

2.5 Custom Fields - Cost Centers

Custom Fields - Cost Centers Select an entry from a cost driver's custom field if you would like to limit the report to a single entry in a custom field in the Cost Drivers register.

 

3. Document Types

3.1 Document Types

Document Types Select the issue document types for which you would like to report profit margin. Document types must be selected. (Record only document types are not available to select!)

3.2 Document Types - Record Only

Document Types - Record Only Here you can select record only document types.

4. Item Types

Item Types Select the item types for which you would like to report profit margin. Item types must be selected. To select an item type, check the box next to the desired type.

 

WARNINGs
  • Profit margin reports also take account of price differences for own goods and compound goods, that is, the valuation price determined in work orders is used.
  • The program uses the actual price difference, which is expressed as follows:

    Difference = invoiced value of item - (minus) value of item at issuing warehouse on day of issue.

    The value of an item at the issuing warehouse depends on the stock tracking method used at that warehouse. For this reason, it usually differs from the most recent purchase price.

  • The price difference or purchase value for items of the type S - Service is always 0.
  • Before creating a profit margin report, it is recommended that you run the Refresh Stock function. 
  • For general description of the task bar functions see Task Bar.
  • Shortcuts in the right-click menu can be used to make selecting item types and documents types in the Item Types and Document Types fields easier (see Basics - Multiple Selection Lists).
  • Report criteria must be selected each time you create a report. Criteria can also be saved as a template.
  • Like with all other modules where filtration criteria can be selected, a blank field means that documents with all possible values will be included in the report. If information is selected in a field, only documents and lines where the same information has been selected or entered will be included in the report. Filtration can be slightly expanded using wildcards (see Basics - Wildcards).
