Transferring Groups

A company may need to move multiple fixed assets (FA) to a new Group when they begin to serve a different purpose. This often happens when FAs are repurposed, for example, when computers which were initially assigned to administrative staff are reassigned to the IT department for development work. Reclassification may also be necessary when new internal policies are introduced, such as the creation, merging, or restructuring of departments.

Case summary
Tecta Plc. company recently established a new IT department. Five computers, originally classified under the Equipment FA group, are being reassigned to support this department. As a result, the person responsible must transfer these computers to a new Group called IT Equipment.
This is done as follows:
- Accessing the Fixed Assets Register
- Moving group

Person responsible opens the Fixed Assets register by navigating to Financials | Fixed Assets | Fixed Assets.

The Fixed Assets register opens.

In the next step, the person responsible transfers selected computers to the new Group.
To reassign FAs to a different group, the person responsible right-clicks on the Group field in the Header and selects Move Group.

A new window titled Transfer Groups opens.

The person responsible clicks the arrow button in the Old Group field, selects Equipment from the drop-down menu, and clicks the Find button.

After clicking the Find button, the program displays all FAs currently assigned to the Equipment group.

The person responsible deselects all FAs except the five computers by unchecking boxes in the Sel. column, ensuring only the five computers are selected.

The person responsible clicks the arrow button in the New Group field and from drop-down menu selects IT Equipment group, to which the selected FAs will be transferred to.

The person responsible clicks the Transfer button to move the selected computers to the new IT Equipment group.

An information window appears confirming the successful transfer. The person responsible clicks OK to close the message.

The person responsible clicks the X button to close the Transfer Groups window as the transfer has been completed.

The Group field for each of the five computers now shows IT Equipment, indicating the person responsible has successfully reassigned the FA group.
