Trips

Travel Orders

After you have selected the option for automatic posting of trips from the Automatic Posting menu, a window opens allowing you to enter restrictive criteria for selection of the created trips to be posted:

 

 

Document date (from-to)

The trips to be posted may be restricted on the created / document date (that is the date within which you want to post travel orders).

Report date (from-to)

The trips to be posted may be restricted by report date (that is the date when the travel order has its reported date).

Employee

Posting may also be restricted by an individual employee, for whom the trip was charged.

Trip Status

We can filter posting of trips by the trips status.

Document Types

It is MANDATORY for you to select the trips document types, from which you want to remove the records.

Posting

Create

You can create a new journal entry with which to post the selected documents.

Append

Select the Append option and specify the journal entry to which you want to add posts.

Document type

The document type to be posting with which the journal entry will be created.

Target date

The period date of the journal entry (by default: the current date).

Posting date

The posting date of the journal entry, i.e. the date when the journal entry is created  (by default: the current date).

Document Status

  • Not posted – by selecting it you post trips that have not been posted yet
  • Posted – by selecting it you can view the list of posted documents or if you repost these same documents (that is, to correct the posting). In such a case the original journal entry is changed or modified accordingly.
Posting Method
  • Separate Notes - by selecting seperate notes the posting takes into account the text entered in Travel Purpose field of the Travel Order.  The text will be displayed in the Note column.  The option is availabe for Direct Costs only.
  • No Notes - by selecting no notes, the posting will not take into account the Travel Purpose text.  Note column will remain empty.

By clicking this button you display document(s) to be posted.

After you have successfully restricted the document list, you can proceed by clicking the Posting button. The program opens the window for posting of trips.

By clicking it you select all documents from the list.

By clicking it you deselect all documents from the list.
