Why Use Serial Numbers?

Why Assign Serial Numbers?

To distinguish between individual items with the same ID, assign serial numbers.

Let us take a look at the following examples:

Cars The vehicle identification number (VID) uniquely identifies single cars of the same model. For example, you buy two cars of the same model in April, the VIDs XYZ1100000011 and XYZ9911111199. In July you decide to sell the one with VID XYZ1100000011 to Jack and in August you sell the car XYZ9911111199 to Jill. Assigning serial numbers allows you to track individual products, even though they are stored under the same item ID.
Pharmaceuticals Pharmaceutical drugs carry lot numbers in order to identify time and location of production.For example, in May you buy 200 packets of a drug with the lot number 23456, and in June another 100 packets with the lot number 98765. In July you sold 30 packets of lot 23456 and 50 packets of lot 98765 to pharmacy A, and 40 packets of lot 23456 to pharmacy B. In August the drug manufacturer recalls the lot 23456. As you are able to track the drug under that lot number, you know that you have 130 packets of the recalled lot in stock, and that you should inform pharmacies A and B that you sold them 30 and 40 packets, respectively. If you wouldn't track the pharmaceuticals' lot number, you would need to recall all lots from all customers and inspect the probled manually.
Shoes Shoes of the same model come in different sizes. For example, you produce the model X-1 in sizes 38 to 45. Instead of having a separate item ID for each size, sizes are set up as predefined serial numbers.
Shirts Shirts of the same model come in different sizes and colors. For example, you produce the shirt Seymore in sizes 39 to 45 in the colors black, gray and blue. Instead of having 21 item IDs, one for each combination of size and color, you use one item ID and use the serial number functionality to distinguish between size and color.

 

There are two main types of serial numbers:

S - One S/N Is One Piece Each piece has its own unique serial number (e.g. chassis number or motor engine number with cars). For detailed treatment see example.
K - One S/N Are Multiple Pieces (Batch) They come in lots meaning that multiple products share the same serial number (e.g. lots or batches/series with medicine or foodstuffs, where one batch can include for example 100 pieces). For detailed treatment see example.

Or use three special methods used for generating serial numbers:

P - Product Variants (batch) Predefined serial numbers are called product variants. Use them to cover default values and amke input and control easier, reducing error risk. For detailed treatment see example.
E - Compound Serial (one piece) Just as with products which have S - One s/n Is One Piece serial number status, it holds good for products of this type that each piece comes with its own unique serial number. However, you can select how the serial number will be generated in Serial Number Templates. You can also set default values. For detailed treatment see example.
O - Compound Serial (batch) Just as with products which have K - One S/N is Multiple Pieces (batch) serial number status, it holds good also for products of this type that multiple products are assigned the same serial number. However, you can select how the serial number will be generated in Serial Number Templates. You can also set default values. For detailed treatment see example.
