Send Note by E-Mail

This form enables you to send notifications from PANTHEON reports by e-mail or SMS messages. The notification recipients are selected according to the criteria defined on the report.

Available on selected reports by clicking the Send Notice by E-Mail button.

WARNING

For this feature to function correctly, you must define the following settings:

  1. Import eWorkflow SMS and e-mail notifications.
  2. Import and set the eSMS Service Inbox.
  3. Activate eExchange services.

The detailed process is described in the chapter Settings for SMS and e-mail notifications.

1 List of Subjects

Listed are potential recipients of the notice, who fit the criteria defined on the report, and their contact information.

Selected

By checking the checkboxes, select the recipients of the notice.

Subject

This field contains the name of the recipient of the notice. The data is copied from the Subjects register, from the ID field.

E-Mail

This field contains the e-mail address of the subject, to which the notice will be sent.

The data is copied from the Subjects register according to the setting: Select E-Mail Addresses.

Mobile Phone

This field contains the phone number of the subject, to which the notice will be sent.

The data is copied from the Subjects register, according to the setting: Select E-Mail Addresses.

 

WARNING

The settings of general contact information of a subject can be edited on the General panel in the Subjects register.

The subject's contact data can be edited by clicking the person on the subject's contacts list.

2. Toolbar

The toolbar enables editing and sending notices.

Send

Button for sending e-mail.

Buttons for editing message:

Paste, Cut, Copy, Select All.

Tools for editing font.

Tools for editing text form.

3. Notice

In this section, the contents of the notice are, or can be written.

Sender

In this field, the sender's e-mail is shown. The default value can be set in the Administration Panel in Settings | Internet.

Full Name

This field is filled in with the name and surname of the sender. The default value can be set in the Administration Panel in Settings | Internet.

Subject

Into this field, enter the subject of the notice. You can select it in the Templates field.

Specification Text

The text of the notice. You can select it in the Templates field.

4. Selecting E-Mail Addresses

In this section, select the source of data for e-mails and phone numbers of subjects.

Use

On the list, sources of data for e-mail addresses and phone numbers of subjects, which will be used for sending notices, are shown. The sources are located in the Subjects register.

Exclude Duplicates

Check the checkbox if you want the program to enable excluding duplicates of e-mail addresses or phone numbers and make sure the same addresses/numbers do not repeat.

Available

Listed are sources of data available for e-mail and phone numbers of subjects, but are currently not being used for sending the message. The sources are located in the Subjects register.

Only First Found

Check this checkbox if you want the program to only suggest the first found address/number for sending the notice.

Clicking the button transfers the selected address/number from the Use list to the Available list.

Clicking the button transfers all addresses/numbers from the Use list to the Available list.

Clicking the button transfers the selected address/number from the Available list back to the Use list.

Clicking the button transfers all addresses/numbers from the Available list back to the Use list.

5. Settings and Buttons

In this section, you can edit the settings and send the SMS message.

Include specification by documents in Email body

Check the checkbox if you want to add a PANTHEON report in PDF format to the e-mail notice as an attachment.

Carbon Copy

Into this field, you can enter e-mail addresses of the recipients of a carbon copy of the notice. The recipients must be separated by a semicolon.

BCC

Into this field, you can enter e-mail addresses of the recipients of a hidden carbon copy of the notice. The recipients of the hidden copy will be hidden from the other recipients. The addresses must be separated by a semicolon.

Export Type:

With the checkbox, select between the standardized formats of report export:

  • XBRL – »eXtensible Business Reporting Language«
  • eIOP - electronic report of open lines

Cancel

Clicking the button cancels the sending of the notice.

Send SMS

Clicking the button sends an SMS message to the selected subjects.

6. Templates

In the Templates field, you can choose between preprepared notice templates.

Template

From the drop-down list, you can select a saved notice template. Double-clicking the field opens a E-Mail and SMS Templates form for creating and editing templates.
