Automatic posting issued documents with retainage

PANTHEON

A certain part of receivables from customers can be posted to a separate account – the retained funds account.

Case summary

The person responsible want to post some percent of receivables to a seperate account. In order to do so, makes following steps:

  1. Settings of percent or value of retainage
  2. Create document
  3. Posting

1. Settings of percent or value of retainage

The responsible person enters the retainage percentage or amount (depends how the agreement with customer is made). This can be done in several places:

1. in Subjects register, different value for each customer

2. in Document Type register, different for each document type

3. in Document itself, manually, different for each document number.

In this case, for subject  Datalab Ltd. for period 01.06.2025.- 31.08.2025. enters percentage of 5, and for period 01.09.2025.-31.12.2025. enter the value of 100,00 EUR. This means that if issued document is created in first period, program will calculate percent and in the second period, program will take into consideration amount of retainage.

Hint

It is not possible to enter percentage and value at the same time for retainage. If you try to enter a percentage and value, a following message appears:

2. Create document

In menu Goods | Issue | Documents | 3000 -Sale selects the button  (New record) and enters the customer Datalab Ltd..Next, enters the dates of invoice and items:

Selects the tab Posts | Retained asset:

Data is filled from Subjects register. The person responsible makes review and decide to post the document automatically.

 

Hint

Percentage or value of retainage can be changed on document itself, in case that is needed.

 

3. Posting

The person responsible selects the button  (Post) and form for Automatic posting of invoices issued:

Post the document by clicking on button Posting:

In this example, we can see that 5% of receivables is posted to account dedicated in tab Retained asset.
