Items

 

 

The Items section contains a list of all fixed assets (FA) or small tools involved in the inventory count, which is used to verify the presence and condition of FAs. It is used to list all FAs that are already registered in the program as well as new ones that have not yet been recorded and need to be added to the register.

The Items list can be populated using different methods:

  • FAs can be Imported from external files or other inventory systems using the import features available in the Wizards.
  • New FAs can be manually entered directly into Items section.
  • The list can be automatically populated based on existing records from the Fixed Assets or Small Tools registers by using the Fill feature located in the Wizards.

 

The Items section can be accessed by selecting Financials | Fixed assets | Inventory Count | IN00 – Fixed Asset Inventory Count

The Items section consists of the following functional units:

Reg.

(Register)

Every checkbox is checked by default and indicates which FAs will be processed during the inventory count.

If a FA will not be processed, click on the checkbox to deselect it .

Invent. No.

(Inventory Number)

Displays the Inventory Number assigned to the FAs or small tools, as defined in the Header. It serves as a unique identifier for each FA and is used for tracking, referencing, and managing FA throughout the program.

 

Hint

Double-clicking this field opens the corresponding record in the Fixed Assets or Small Tools register.

Name

The primary Name of the FA, such as building, sewing machine, or computer, as entered in the Header. It helps identify the FA in the inventory list.

 

If manually entering existing FAs, the field is automatically populated once the Inventory Number has been selected.
Location

Indicates where the FA or small tools is physically situated within the organization, as recorded in the Movement tab.

 

If manually entering existing FA, the field is automatically populated, once the Inventory Number has been selected and if this information exists in the Movement tab.

 

Hint

Double-clicking this field, opens the Fixed Asset Locations register, where Locations can be added or edited.

Type

The status of the FAs or small tools included in the inventory check. It indicates the condition or classification of the FA at the time of inventory.

The available Types are:

  • M – Missing: Assigned to a FA which is listed in the register but not found during the inventory check. This status is automatically set when using the Fill feature (see Wizards).
  • N – New: Assigned to FAs that are not in the register but have been imported into the inventory list. This status is set when using the Import feature (see Wizards).
  • P – Moved: Used when the location of the FA has been changed since the last record. This status is set when using the Import feature (see Wizards).
  • O – Unchanged: Used when a FA matches the existing record in the register with no changes. It is assigned after using either the Import or Fill feature (see Wizards).
  • D – Destroyed: Applied to FAs that are no longer in use due to damage or being beyond repair.
  • Z – Obsolete:  Assigned to FAs that are outdated or no longer serve a functional purpose within operations.
  • L - For disposal: Used when the FA is marked for disposal or sale.
  • X – Unspecified: This status is set by default when a FA is entered manually and its condition or classification has not yet been determined.
Book Inventory

Book Inventory field corresponds to the Status field in the Header.

Manually enter the functional status of the FA (such as active, inactive or damaged) when the Type N – New is used. This status will be copied from the inventory count into the register when the Transfer Selected to Register Wizard is used.

 

Warning

The field can only be used for FAs whose Type is N-New. For other entries this field is invalid and cannot be filled-in.

Category

Automatically populated based on the value entered in the Group field within the Header

It identifies the classification Group to which the FAs or small tools belong, helping organize FAs by type, function, or department.

Deprec. Categ.

(Depreciation Category)

Manually enter the category when the Type N – New is used for the FA. This value will be copied from the inventory count into the register when the Transfer Selected to Register Wizard is used.

 

Warning

The field can only be used for FAs whose Type is N-New. For other entries this field is invalid and cannot be filled-in.

Note An optional text field for entering additional information or comments about the FA. This may include observations from the inventory check, FA condition, usage notes, or other relevant remarks that help provide context or clarity.
Quantity

Automatically set to 1 when a new FA is manually entered or added using the Fill feature in the Wizards.

The Quantity can be manually adjusted if needed, particularly for FAs that are managed in batches or have multiple identical units grouped under a single inventory record.

Activated On

Manually enter the date of activation when the Type N – New is used for the FA. This value will be copied from the inventory into the register when the Transfer Selected to Register Wizard is used.

 

Warning

The field can only be used for FAs whose Type is N-New. For other entries this field is invalid and cannot be filled-in.

 

Hint

Additional columns Book Inventory, Category, Deprec. Categ., Note, Quantity and Activated On. can be accessed by right-clicking on one of the column names and choosing Edit | Select Columns.
