Adding Notes

PANTHEON

The Notes tab serves as a dedicated space for entering supplementary information related to fixed assets (FA). These notes can include operational instructions, maintenance reminders, special usage conditions, or contextual details that are not accommodated in standard fields or registers.

 

Case summary

During a periodic inspection of an industrial sewing machine at Tecta Plc., the maintenance team identified that the motor was showing minor vibration. The person responsible will record this observation using the Notes tab, so that future inspections will have a clear historical record of this issue.

This is done as follows:

  1. Accessing the Notes Tab
  2. Entering a New Note

1. Accessing the Notes Tab

Person responsible opens the Fixed Assets register by navigating to Financials | Fixed Assets | Fixed Assets.

 

The Fixed Assets register opens.

 

The person responsible uses the Toolbar functions to navigate to the FA which will have a new note recorded. In this case, to the inventory number 00048.

 

Once the inventory number 00048 is selected, the person responsible clicks the Notes tab.

In the next step, the person responsible adds a new record to the Notes tab.

2. Entering a New Note

To add a new note, the person responsible clicks the New Record field, which creates a new entry line.

 

In the new entry line, the person responsible types a new note in the Note field: Minor vibration of the motor was identified and corrected.

The fields Line and Posted are automatically populated once the person responsible begins typing the note.

 

After typing the note, the person responsible presses Enter on the keyboard to save the note. Upon pressing Enter, the Clerk field automatically populates and a new line is created.

Hint

The new line is not automatically saved and will not be visible once the person responsible moves out of the Notes tab. It can also be immediately removed by pressing the upward-pointing arrow key on the keyboard.

 

The person responsible has successfully entered a note in the Notes tab.
