User Absence

In case of an expected or unexpected absence, the User Absence form allows you to redirect the tasks to the substitute user who will perform tasks during the given user's absence.
The form is opened by clicking on the button
(User Absence) in the toolbar of the To-do form.

The form is made up of certain elements, which are described below.
Identify the user who is absent for the period of absence and the user who will take over the task.
Absent user

From the drop-down list, select the user who is absent and you want to transfer his/her tasks to another user.

Substitute user
|
Select the user from the drop-down list to whom you want to assign tasks (from the absent user).

Absence from
|
Specify the start date of the absence.

HINT
You can select a date from the calendar that appears when you click on the drop-down list, or you can manually enter it.

|
Specify the end date of the absence.

Get tasks
|
Displays a list of tasks for the absent user based on the specified period of absence.
|
If the substitute user is scheduled to work on other tasks or may be absent for a certain period of time, the data can be seen in the table.
Date
|
Date of planned work by the substitute user.
|
Absence
|
If checked, the substitute user is absent.
|
Work Type
|
Work type. The ID is displayed according to the work regime specified in the working time hierarchy.

The user has to be linked to the worker in the Employee files.

HINT
Adherence to a hierarchy of working time in order of priority, from the highest to the lowest:
- Planned working time in the Employee file.
- Planned working time of the department at the workplace in the Employee files.
- The working pattern defined in the Employee files.
- The working pattern defined in the first calendar, which has the same department or the one closest in hierarchy to employee department.
- The working time regime defined in the Working Time Records in the Administration Panel.

Start
|
Start of the period of absence.

End
|
End of the period of absence.

The list of tasks that need to be transferred to another user is displayed in a table.
Checked
|
If check, the task will be redirected to the substitute user.

Task type
|
Task type. For a detailed description read Task type.

Created
|
Date of creation of the task.
|
Owned By
|
The user who created the task.
|
Document
|
A document related to the performance of a task.
|
Subject
|
A subject related to the performance of a task.
|
Due Date
|
Date of completion of the task.

We can check the content of previous task changes to another person. Then confirm the entered parameters to transfer the job to another person or close the form.

History of replacements
|
Opens a list of task redirection history. The table shows the data:
- Absent user
- Substitute user
- Date from
- Date to
- Edit - option to change dates of absency
- Delete - delete selected absency
- Transfer back ToDo's - revert absency. Set task back to it's original user.
When you click on the button Back to replacement, the preview is returned to the start of the form.

Confirm
|
When clicked, the tasks are redirected to the substitute user. The form User absence is closed.
|
Cancel
|
The form User absence is closed. Tasks are not redirected to another user.
