Partial Deactivation

 

 

Partial Deactivation of fixed assets (FA) or small tools refers to the process of retiring, disposing of, or adjusting only a portion of an FA's or small tool's total value or functionality, without fully removing it from active service. This functionality is used when a specific part of a FA, such as a component or functional segment, is no longer in use, has been sold, damaged, or otherwise requires deactivation, while the remainder of the FA continues to be utilized.

The Partial Deactivation form is used to dispose of part of a FA or small tools while automatically creating a new entry in the register for the remaining portion. Unlike full deactivation, which marks the FA as inactive and typically ends depreciation entirely, Partial Deactivation allows for precise adjustments to the FA's book value, depreciation base, and useful life. The remaining active portion of the FA continues to be tracked and depreciated as normal.

 

The form can be accessed from the Fixed Assets or Small Tools register, by right-clicking in the Value tab.

The Partial Deactivation form consists of the following functional units:

Inventory No.

(Inventory Number)

Displays the unique Inventory Number of the FAs which will be Partially Deactivated. This field is accompanied by the FA’s name, retrieved from the Name field in the register's Header.

It is automatically populated and cannot be edited. Double-clicking the field opens the corresponding register entry.
Quantity

Shows the original purchase Quantity of the FA associated with the selected Inventory Number, as specified in the Quantity field in the register's Header.

This field is automatically populated and cannot be edited.

New Qty

(New Quantity)
Displays the total Quantity of the FA. The New (remaining) Quantity can be manually entered, or is automatically calculated based on the value entered in Reduce Qty By field.

Reduce Qty By

(Reduce Quantity By)
Specifies the Quantity to be disposed of. This value can be entered manually or automatically calculated based on the value entered in the New Qty field.
Purchase Value

Displays the proportional Purchase Value corresponding to the amount specified in the New Qty field.

This value is automatically calculated and cannot be edited.
Accumulated Depreciation

Shows the Accumulated Depreciation applicable to the Quantity entered in the New Qty field.

This value is automatically calculated and cannot be edited.
Deactivation Date Enter or select the Deactivation Date. This date will be recorded as a new Entry Type 6 – Disposal of fixed asset in the Value tab of the original FA.

Partial Deactivation button

Clicking the Partial Deactivation button initiates the Partial Deactivation process. After clicking the button, a confirmation message appears:

 

 

After confirming by clicking the OK button, the program executes the Partial Deactivation and displays an information window showing which Inventory Number was disposed of and which new Inventory Number was created.

 

When Partial Deactivation is initiated and confirmed, PANTHEON automatically performs the following actions:

  • Adds a new Entry Type 6 – Disposal of fixed asset to the Value tab of the original FA that was partially disposed of.
  • Creates a journal entry in the General Ledger for the partial disposal (partial liquidation).
  • Generates a new Inventory Number for the remaining portion of the FA, along with an Entry Type 1 – Acquisition in the new FA’s Value tab.
  • Creates a corresponding acquisition journal entry in the General Ledger for the new FA.
Record Events

Applies exclusively to Small Tools and defines how quantities are recorded in the program during partial deactivation, when only a portion of the small tools quantity is removed from use or written off. 

Choose one of the following options, ensuring that Partial Deactivation is accurately reflected in Utilization and Movement tabs:

  • None: No additional record will be created in the Utilization or Movement tab when a partial deactivation occurs. Suitable if tracking deactivated quantities is not necessary for reporting or audit purposes.
  • Write deactivation quantity to utilization: The deactivated quantity will be logged in the Utilization tab, indicating that small tools have been used or consumed. Used for monitoring gradual usage or wear over time.
  • Write deactivation quantity to movement: The deactivated quantity will be recorded as a movement event in the Movement tab, representing the physical or administrative removal of tools, such as disposal, loss, or transfer.
  • Write deactivation quantity to utilization and movement: The deactivation quantity will be recorded in both Utilization and Movement tabs. It is used for comprehensive tracking when both usage and inventory movement need to be documented for auditing or reporting.

 

When the following radio buttons are selected:

  • Write deactivation quantity to utilization,
  • Write deactivation quantity to movement, and
  • Write deactivation quantity to utilization and movement,

the bottom section of the window changes. It contains fields that correspond to the Utilization and Movement tabs, which serve two purposes:

  • top part allows the entry of relevant data and the creation of individual records for each disposed small tool.

  • Bottom part is a read-only view of existing entries from both tabs, displayed for reference.

 

Warning
  • It is strongly recommended to avoid entering events in the Utilization and Movement tab simultaneously, as they contain overlapping information such as location, department and cost center. Both tabs are also intended to track the status of a small tools.
  • Note that partial deactivation is used solely as a basis for posting.
Assigned to

Available only when performing partial deactivation of Small Tools when either Write deactivation quantity to utilization or Write deactivation quantity to utilization and movement radio buttons are selected.

From the drop-down menu select the employee responsible for the deactivated quantity. This typically refers to the employee who last used the tools, is returning them, or is responsible for their consumption or disposal.

 

Warning

Only employees who have previously been entered in the Movement or Utilization tab can be selected in this field.

Location

Applies exclusively to Small Tools. It is visible when Write deactivation quantity to movement or Write deactivation quantity to utilization and movement radio buttons are selected.

 

From the drop-down menu select the Location where the deactivated quantity is moved to, stored or disposed of, for example a physical storage area, disposal site, return zone, or another designated facility. It assists in identifying whether small tools are awaiting disposal or further processing.

 

Warning

When Partial Deactivation is posted, the total remaining value of the original FA is posted to the Difference at Disposal account. At the same time, this account is reduced by the amount that is transferred to the newly created FA, ensuring that only the disposed portion remains reflected as a difference.
