Stock overview

 

PANTHEON supports all key warehouse processes and gives you a complete overview of your goods. The overview of stock and orders can be obtained quickly and easily, while a range of automated processes ensures optimal goods and stock levels.

This chapter introduces the calculations and reports related to stock in PANTHEON. These will help you monitor and analyze the company stock. The pre-defined stock reports are designed to give you an overview of stock from different perspectives. They are used to monitor current stock, stock movement, hard allocations, minimum stock, maximum stock etc..

To limit the display of data for each report, limiting criteria can be defined, such as report date, type of items, warehouse, etc.

Below is an example of how to create various reports:

CASE SUMMARY

Warren Warehouse, Warehouse Manager at Tecta, wants to analyze the company stock. He wants to review the basic information on stock, so he uses the most commonly used reports, which include:

  1. Stock movement overview
  2. Serial number reports
  3. Overview of current stock and hard allocations
  4. Overview of minimum, maximum and optimum stock

1. Stock movement overview

The person responsible wants to check movements and inter-warehouse stock transfers for the item CHAIR.

For this purpose, the person responsible opens the menu Goods | Stock reports | Warehouse card.

The window Warehouse card opens. In the left panel Report Type, you can see the predefined reports. In this case, the person responsible selects 143 – Warehouse card.

On the right side of the window, criteria are selected, such as Item Types, Warehouses etc... Then, the person responsible enters the following criteria in the respective fields: Item: CHAIR and Warehouses: Warehouse Wholesale.

The report is created by double-clicking the selected report in the left panel or by clicking the button Report.

HINT

Clicking on the button Grid view will display the same data in a table. By right-clicking on the table and using the command Export to Excel, you can save this data to an Excel file.

 

A warehouse card report opens and the person responsible can now see the stock movement for the selected item.

The report shows the transfer of the CHAIR item to the Warehouse Wholesale. The report also shows the stock values.

HINT

When viewing a report, you can use the drill-through function to click on the document number and open that document in a new tab.

The person responsible wants to visualize the report created. In the report toolbar, the person responsible clicks on the button (Print) to print the report.

This completes the process of creating a stock movement report.

The person responsible then wants to review the serial numbers.

2. Serial number reports

The person responsible wants to check the currently available serial numbers for the item.

For this purpose, the menu Goods | Stock reports | Serial numbers is selected. The window Serial number reports opens.

The person responsible enters the following criterion in the suitable field: Item TERMO_FOIL. Then, the report type 145 – Available serial numbers is selected.

The report is created by double-clicking the selected report in the left panel or by clicking the button Report.

The report shows the serial numbers of the item TERMO_FOIL and the quantities currently in stock in the Warehouses.

To export the report to a PDF file, the person responsible clicks the button (Export as PDF) and saves the file.

This completes the process of creating a serial number report.

The person responsible then reviews the current stock and hard allocations.

3. Overview of current stock and hard allocations

The person responsible wants to check the current stock of the item CHAIR at the Dispatch list (DL) Warehouse and any hard allocations.

For this purpose, the menu Goods | Stock Reports | Current stock is selected in the main menu bar. The window Current stock opens.

In the field Item, the criterion CHAIR is entered and the checkbox Warehouses is checked.

Then, the report type 31Z – Current Stock by Warehouses and Items with Hard Allocations is selected.

The report is created by double-clicking the selected report in the left panel or by clicking the button Report.

HINT

To see how the report can be transferred to an Ad-hoc analysis, read the chapter Order report.

 

A report of the current stock and hard allocations opens.

The report shows the current stock of the item CHAIR, hard allocations and the difference represented by the column Available stock.

 

The person responsible wants to send the report by email.

In the print toolbar, the person responsible clicks the button (Send by e-mail). This opens an email window with the file of the created report attached. The person responsible enters the recipient in the field To and sends the email by clicking the button Send mail.

This completes the process of creating a report of current stock and hard allocations.

The person responsible then reviews the minimum, maximum and the optimum stock.

4. Overview of minimum, maximum and optimum stock

 

The person responsible wants to check the current stock of the item CHAIR and its minimum stock across all warehouses.

For this purpose, the menu Goods | Stock Reports | Minimum stock reports is selected in the main menu bar. The window Minimum stock reports opens.

In the field Item, the criterion CHAIR is entered and the radio buttons Minimum and Less or greater are selected from the Report type filters.

If the person responsible wants to check Optimum or Maximum stock, the person responsible selects the suitable radio button in the section Stock report types.

The report 154– Minimum stock report– by suppliers and items is selected.

The report is created by clicking the selected report or by clicking the button Report.

HINT

At the item level, the minimum, maximum and optimum stock are defined in the panel Stock of the Items register.

The report Overview of minimum stock opens.

The report shows the current stock of the item CHAIR and its minimum stock by warehouse.

If the value in the column Difference is negative, this means that the item stock is below the minimum stock.

The person responsible wants to export the report to a Word file. In the print toolbar, the person responsible clicks the button (Export to Word) and saves the file.

This completes the process of reviewing the most commonly used stock reports.
