Register Employee

The Registration for compulsory social security insurance (M – 1 form) must be submitted by the employer after concluding the employment contract.

The image shows the form for registering employees (form M – 1) and the registration confirmation.

This chapter presents how to fill out the M – 1 form in PANTHEON all the way to submitting the form to ESS.

CASE SUMMARY

Heather Human, the person responsible in the Tecta company wants to register a new employee for compulsory social security insurance. The company, as the employer, is required to register employees for compulsory social security insurance. This is done as follows:

  1. Preparing the Registration Form
  2. Filling out the Registration Form
  3. Printing the Registration Form
  4. Submitting the Registration Form

1. Preparing the Registration Form (form M – 1)

To transfer data into the M – 1 form, the person responsible selects Personnel | Employment | Applicants.

Using the navigation keys, the person responsible finds employee Calvin Clerk in the Taskbar.

Next, the person responsible opens the form by clicking the (Wizard) button in the Taskbar and selects the Transfer to M1/M2 option.

The form can also be opened by selecting Personnel | Forms | M – 1, M – 2.

 

2. Filling out the Registration Form

Details of CONTRIBUTORY or, data about the employer is automatically filled into the form.

The program reads the general data from the Tecta entry in the Subjects Register.

The Contributory Reg. No. field is filled in automatically with data from Administration Panel | Personnel | Contributory Reg. No.

As shown in the image below, the Submitter field is also automatically filled in from the settings in the Administration Panel, at the Form Submitter selection.

The Details of INSURED PERSON are transferred to the M – 1 form from the Applicants Register.

Data about the Nationality, Last Name, Name, Nat. ID No., and Address are automatically filled.

In the Nat. ID No. section of the Details of INSURANCE part of the form, the person responsible clicks the or button to select the worker for whom the form is being submitted.

All data about the employee that will be entered in other fields depend on this entry.

From the Employee Files | General panel, data is automatically copied into the Nationality, Name Last Name, and Address fields.

In the Insurance Start field, the person responsible defines the day the employee's insurance comes into effect.

3. Printing the Registration Form

When the form is filled out, the person responsible clicks the (Reports) button in the taskbar and selects the form printout option for Registration or Checkout.

A print preview opens.

4. Submitting the Registration Form

The form can be submitted in person or by post, to one of the regional ESS offices or via the SPOT portal.

If the person responsible is submitting the form to the eVEM portal, there is an eVEM button on the lower right corner of the form where the data was being edited

Clicking the button sends the form to Personnel | Forms | eVEM, to the Prepare and Export to eVEM panel, where the form is processed.

From the drop-down list in the Application Name field, the person responsible selects the Registration (M-1) option and clicks the Prepare button.

In the lower part of the Processed Documents form, a new line is created. The person responsible right-clicks the new line and selects the Send Document option.

HINT

To submit the M – 1 form to the eVEM system, you need one of the qualified digital certificates
