Attendance

 

The Attendance tab can be accessed from the Personnel | Work records module via the Attendance tab.

This tab allows you to track the status of work obligations and absences for all employees at the same time, either at the level of the current day or for a longer period of time, e.g. on a monthly basis.

The screen can be logically divided into the following parts:

  1. Toolbar
  2. Header
  3. List of attendance


1. Toolbar

In the left, there are tabs to the other parts of the Work Records. In the right, you can find the following important action buttons:

Wizards

There are two shortcuts in the Wizards button:

Export

By clicking on the Export button, you can export the timesheet to Excel:

  • Working time records – contains information on working time;
  • Salary import records – contains payroll data in TXT format, which can then be imported into PANTHEON in Payroll Preparation on the Import from text file form.

Print

By clicking on the Print button, two different reports in PDF format can be created, namely:

  • Attendance
  • Working time records

 

2. Header

In the header, you can filter the attendance list using the following search fields:

Employee

Select one or more employees for whom you want to track attendance. By default, all employees are displayed.

Department

Select one or more departments for which you want to check attendance. By default, employees from all departments are displayed.

Work obligation

Select one or more work obligations for which you want to view attendance. By default, employees with all work obligation are displayed. The statuses are freely configurable in the Settings I Work records menu in the tabs Work obligations and Leave, sick leave (instructions forthcoming).

Display type By default, when opening the form, an custom period is selected, namely the current date (see From/To below). Pre-defined periods can also be selected: last 10 days, last month and last quarter.

From/To

By default, the current date is applied when the list is opened, but you can change it or display a longer period of time.

Employment status

Select one or more employment statuses from the drop-down list

temporary, permanent, etc.) for which you want to check attendance.

Status

Select active, inactive or all employees from the drop-down list. By default, active status is selected when opening the form.

 

3. List with employee attendance

The list shows employees and their attendance data according to the conditions or filters selected in the header (by default, all employees on the current day). 

Employee picture

The employee's picture is taken from Employee – General information.

ID

The employee ID is taken from the ID field in the Employee – General information.

Last and first name The employee's first and last name is taken from Employee – General information

Department

The department is applied from the Department field in the Employee – General information

Current status

Represents the current status that the employee is currently recorded as having, e.g. whether they are on a lunch break, at regular work, absent, etc.

WARNING

The current status is only displayed if the current day is selected in the From/To filter. If an interval longer than one day is selected here, the current statuses are not displayed.

You can set the color of the border and the status icon yourself in the Settings | Word records menu in the tabs Work obligations and Leave, sick leave (instructions forthcoming).

 

If the Current status of the employee is not recorded, it means that the employee does not have a work obligation or absence entered.

Arrival

The time of arrival of the first work obligation on the current day is recorded, e.g. the time of the start of regular work or the start of absence.

WARNING

The current status is only displayed if the current day is selected in the From/To filter. If an interval longer than one day is selected here, the current statuses are not displayed.

Activity in period

Shows the duration of an individual work obligation (regular work, lunch, etc.) or absence during the selected period.
Departure

The time of departure of the last work obligation on the current day is recorded, e.g. the time of the ending regular work or absence

WARNING

The current status is only displayed if the current day is selected in the From/To filter. If an interval longer than one day is selected here, the current statuses are not displayed.

Planned Shows the planned working time that the employee should have worked during the selected period and is the same as the planned working time from the My records tab.
Actual Shows the actual hours of work for the selected period, which is the same as the actual working time from the My records tab, but reduced by the hours of absence (holidays and sickness).
Accounted Shows the working time for the selected period, which is the same as the actual working time from the My record tab and contains absences.
Absences Shows the hours of absence, such as holidays and sickness.
Balance Shows the balance of the work hours equal to the balance from the My record tab.
