1. General information on workflows

1.1 What is eWorkflow?

eWorkflow is a set of logically linked execution and control processes and activities in a company or organization that result in a planned product or service.
A workflow (business process) is part of the eWorkflow and is a set of interdependent and interrelated activities. An activity is a specific work task that can no longer be broken down into smaller elements.

1.2 How to break down the eWorkflow?

To break down the eWorkflow, the concept of decomposition is used. eWorkflow is first decomposed into sub-processes and then each sub-process is decomposed into business processes.

1.3 Types of business processes

A company may break down its activities into several business processes. There are two types of business processes. One type includes the processes directly related to customers or service users, which are called key processes: product or service development, manufacturing, sales and servicing of products.

Support processes include processes that are needed to keep key processes running smoothly, especially material procurement, financing and business management.

1.4 Process stakeholders

Process stakeholders are persons or groups who have an interest, benefit or role in a process. All stakeholders are important to the business, because they contribute to the success of the organization through their role. When analyzing processes, it is necessary to consider who the stakeholders are: customers, suppliers, managers, employees, etc. and how they participate in the process.

1.5 Flow between processes

There are three types of flows (movements) in relation to business processes: goods, information and services. Goods include input material, production parts and production equipment. Information include various types of forms and reports, documents, specifications, purchase orders, production and delivery orders, etc. Services include, for example; printing, scanning, posting, servicing, maintenance, transport, etc.

1.6 Digitizing business processes

A business process (e.g. management of invoices received) controlled by an ERP system to automate the execution of work operations and facilitate document and task management is called a digitized business process. In PANTHEON, the PANTHEON eWorkflow feature is dedicated to the digitization of business processes.

2. What is PANTHEON workflow (eWorkflow)?

eWorkflow or PANTHEON workflow is a set of related elements (blocks) that control operations in PANTHEON through defined functions and whose consequence is a faster and automated execution of repeating tasks or a set of tasks in PANTHEON, such as VAT account, Year-end etc.

eWorkflow is also a key and connecting element of PANTHEON DMS system. It acts as a robot that controls the operation of eDocumentation and eExchange in connection with PANTHEON’s server for automation (PAAS).

With its help, documents are electronically exchanged with both customers and suppliers (in the form of e-invoices, e-packing slips, e-orders etc.), documents are exported and imported from/into eDocumentation (simultaneously being categorized and assigned corresponding metadata), data is exchanged with external systems like banks, web shops etc.

3. Licensing of the PANTHEON eWorkflow

eWorkflow is included in all PANTHEON licenses free of charge.

You can use all predefined eWorkflows, which can be downloaded using the Web Service to make the company's work easier, and you can also use the Workflow Design form, which allows you to design workflows (business processes) tailored to your company's needs.

WARNING

All three functionalities: eDocumentation , eExchange and eWorkflows are included in all PANTHEON licenses.

Before using the eExchange and eDocumentation services for the first time, you have to activate them.
