Download classifications

In Step 2 of the Setup Wizard for Documentation, you can download the predefined classification schemes using the Web Service. The form for downloading classifications works in the same way as similar forms used in other registers.
The Web Service provides basic predefined classification schemes for different types of companies, which can be edited and modified as desired after downloading them.

In the Criteria section, select the criteria for downloading classification schemes using the Web Service. The section contains the following fields:

According to your company's or organization's needs, select a classification scheme from a set of predefined classification schemes.
The groups of available classification schemes depend on the localization selected in the For Country field.
For Slovenia, the following basic predefined classification schemes are available:
- SI01 – Classification scheme for companies and institutions with retention periods – A predefined classification scheme for the needs of the public administration, public institutions and companies with statutory retention periods according to Rules determining the retention period for documents of public administration authorities.
- SI02 – Classification Scheme for Ltd – A predefined classification scheme with an initial basic structure suitable for small, medium and large companies.
- SI03 – Classification Plan for Sole Proprietor – A predefined classification scheme with an initial basic structure suitable for sole proprietors.
- SI04 – Classification Scheme for Societies – A predefined classification scheme with an initial basic structure suitable for societies and similar non-profit organizations.

Used to limit the download of classifications via the Web Service according to the classification Type.

HINT
When specifying only a part of a known value, you can use the special character '%', which replaces the remaining part in the search.

In the Import Type section, select how the classifications will be imported and select the desired localization.
The section contains the following elements:
Adding
|
If activated, any records that do not yet exist in the Classification Scheme will be downloaded using the Web Service. When this radio button is activated, its color turns orange.

Add/Update
|
If activated, any records that do not yet exist in the Classification Scheme will be downloaded using the Web Service, while the existing records will be overwritten. When this radio button is activated, its color turns orange.

For Country
|
Select the corresponding localization or classification scheme according to the legislation of the selected country. Currently available localizations include:
- BA – Bosnia and Herzegovina
- SI – Slovenia
- Other countries
The groups of available classification schemes depend on the localization selected in the For Country field.

Transfer from Server (button)
|
Downloads the classifications using the Web Service according to the selected criteria and import type.

The classifications table shows all the classifications that have been downloaded using the Web Service according to the criteria and import type selected. The table displays the data fields for each classification:
Yes/No
|
Select the classifications to be downloaded to the Classification Scheme. When the checkbox is checked, its color turns orange.

Type
|
Shows the ID of the classification downloaded using the Web Service.
|
Description
|
Shows the description of the classification downloaded using the Web Service.
|
Material Type
|
Depending on the retention periods of the documentary material, you can select one of the following options:
- Archive material – The documentary material that has lasting relevance to a business long after it has been created (e.g. registration data, land data, etc.).
- Permanent documentary material – All types and forms of records created or received in the course of the business of legal and natural persons, which are not considered archive material by law, but have a legally defined retention period.
- Other material – Other types of material.

Validity
|
Shows the period for which the document must be kept.
|
Validity Period
|
Shows the unit of time when referring to the validity of the documents assigned to the given classification.
The following units of time are available:

Note
|
Displays any meaningful note related to the classification.

Transfer into Register (button)
|
Transfers the classifications selected in the table to the Classification Scheme.

You can edit the data in the table as desired before transferring it to the register.

In the footer of the form, there are buttons to navigate between the steps of the Setup Wizard.
