Debt Collection

In the Debt collection tab in the menu Financials | Debt collection, you can find a list of debtors and corresponding outstanding items matching the entered debt collection criteria. By default, the data is sorted in descending order by receivables balance.

WARNING

By left-clicking on the grey field containing the field name, you can sort the data displayed by any parameter (subject, receivables balance, linked document, value date, etc.). For more information, see the chapter Sorting Data in PANTHEON Basics).

1. Search window

The search window can be used to quickly find the subject – debtor.

General information about the debtors from the Subjects register is displayed here. They are colored in the following manner:

  • GREEN – Subjects that have been successfully contacted in the last X days. The count starts on today's date (see the chapter Debt Collection Criteria). Such a subject does not need to be contacted again.
  • RED  Subjects that have not been contacted in more than X days. The count starts on today's date (see the chapter Debt Collection Criteria) or could not have been rached during this time. Such a subject may have to be called urgently.
  • BLACK  Subjects that do not correspond to any of the above-mentioned conditions.

In the Criteria tab of the Debt collection window, you can specify when any of the groups of debtors mentioned above should be used when sorting data.

Balance

Sum of receivables balance that match certain criteria.

Subject

Name of the subject from the Subjects register.

The Subjects register may be opened directly by double-clicking the subject's name.

Address

Address of the subject from the Subjects register.

Postal Code

Postal code of the subject from the Subjects register.

Telephone

Telephone number of the subject from the Subjects register.

Balance

Receivables balance of the subject.

Currency

Currency of receivables.

Contact

Contact person of the subject from the Subjects register.

Name 2

Name 2 of the subject from the Subjects register.

Last call Time

The date when you have last called your partner.

Next Call

Enter the day on which you would like to call your partner next.

Note

Note related to receivables.

 

2. History

In this section, you can find information when and at what hour has the debtor been contacted. The note associated with it or the description of this contact can be found in the Outstanding items subpanel. In the Outstanding items panel, you can enter new records in the history table. In the Promised payments panel, you can enter detailed information on the arranged or promised deadline for the payment of amounts claimed.

The records in the history are color-coded:

  • If the debtor has been contacted successfully (the record type Entry type - Contacted from the Show history in debt collection section in Settings | Program | Administration Panel | Settings | Financials | General ), the record is black.
  • If the debtor has not been successfully contacted because the debtor was unreachable (the record type Entry Type - Unreachable from the Show history in debt collection section in Settings | Program | Administration Panel | Settings | Financials | General), the record is red.
  • The records type Entry type - Create Doc. are blue.

The program tracks the duration of all the attempts at debt collection with the DataLab Chronos tool.

To enter the History panel, click the Start button, and finish it by clicking the End button (or the Unreachable button, if you were unable to contact the subject). For a detailed description, see the chapter Outstanding Items.

History

Date of interaction with debtor.

Type

Information about the type of interaction.

Clerk

Information about clerk who interacted with the debtor.

Data can be viewed in detail and additional information can be entered in the related subpanels:

4. Note

In the Note field, you can enter any text, for example, the debtor's substantiation and promise made regarding the debt collection as well as any additional notes made by the caller.
