Fixed Asset Locations

 

 

The Fixed Asset Locations register is used to create, update, and manage records detailing the physical locations of fixed assets (FA). Each entry in this register includes key information such as the Location, location Name, Department and Description. These locations are assigned to FA that are moved to different locations within the organisation.

The register can be accessed in the Fixed assets, Small Tools or Register-Fixed Assets in Acquisition registers, by double-clicking the Location fields in Movement or Utilization tabs.

The register consists of the following features:

1. Toolbar

The Toolbar is located at the top of every PANTHEON form and provides access to various functions, as described in the Toolbar chapter. In the Fixed Asset Locations register, the Toolbar allows new locations to be added and includes a specific function, which is the Fixed Asset Locations report, accessible by clicking the  (Reports) button. 

2. Table of Fixed Asset Locations

In the Table of Fixed Asset Locations, all existing entries and be viewed and edited, and new entried can be created as needed. It consists of the following functional units: 

Active Check the box to indicate whether a location is currently in use (Active). Locations marked as Active are available for selection in drop-down menus throughout the program. If a location is no longer valid or needed (for example, if a facility is temporarily of permanently closed or has been repurposed), unchecking the box hides it from selection menus without deleting its historical records.
Location An alphanumeric identifier (up to 10 characters) uniquely assigned to each physical Location where FAs are placed.
Name Enter the descriptive Name of the physical location, to clearly identify and distinguish it from other entries.
Department

Specifiy the Department associated with the Location

A Department represents an organizational unit or business function within the company (e.g., Administration, Finance, Personnel) and indicates the part of the organization to which the FA is operationally assigned. For more information see Header.

 

Hint

Double-clicking the field opens the Subjects register, where Departments can be added or edited.

(Cost Center)

Define the Cost Center for the individual Location

A Cost Center is a financial unit used to track where costs are incurred, such as specific projects or activity. It is used to monitor and manage financial performance. For more information see Header.

 

Hint

Double-clicking the field opens the Cost Centers register, where Cost Centers can be managed.

Company

Defines the Company associated with the Location, relevant in multi-entity environments.

 

Hint

Double-clicking on the field opens the Subjects register, where Companies can be added or edited.

Description A free-text field where additional notes or descriptions of the location can be entered. This can include details like floor numbers, room identifiers, or special handling notes.
