If your company temporarily issues goods to a business subject (sales samples, for example), it is wise to create an internal issue document in the name of the recipient of the goods. This document will be reversed in the quantity and value with which the goods were originally issued.

 

Example: Your company has given Alpha Trade a sample of goods from its sales catalog.

The goods remain the property of your company. For the sake of records (who has the item and for how long), and also to complete warehouse cards, etc., issues of this type are entered as internal issues.

1. Issuing Goods on Trial (Internal Issue)

Enter an internal issue document using document type 3D0 - Give Goods on Trial

The sale price in this document is not important (that is, only informative), while the stock of the commercial goods will be unburdened through the automatic posting of material consumption and by the valuation value, while the account for the stock of goods at an outside warehouse will be burdened. Here, the valuation price is the valid price at the issuing warehouse (which is provided by the Fill Price from Current Warehouse option) and depends on the valuation method selected for this warehouse.

2. Viewing goods given on trial that have yet to be Returned

You can easily view the status of unreturned goods given on trial by looking over both types of documents (the receipt and the return of the goods on trial), that is, 3D0 and 3D1, in the Invoices Issued Reports.

The most suitable report is arranged by customer and code, and will report the quantity of the "stock" of issued items with an individual business partner.

 

Of course, this information can also be found using a Material Movements Report.

 

3. Return of Goods on Trial

The return of goods on trial is most easily recorded using a type of internal issue (predefined type 3D1 - Returned Goods on Trial), where negative quantities will be entered for the receipt.

The easiest way to document a return of goods on trial  is simply to reverse the issue of goods on trial from section 1 of this chapter using the Add Movement function and the Change Sign option. This will guarantee that you'll be reversing the exact value of the goods you have issued and that this will not be changed by the recalculation of prices (thanks to the Price Input price fill method). 

In order to prevent the repeated return of issued goods, also select Not Added for this DT in the Add box.
