Creating a received invoice

Received invoices can be created using the Create a received invoice feature in the Purchases module. You can add received invoices for costs or goods that affect your stock.

The following case shows how to create a new received cost invoice from supplier Electricity SLO Europe Plc.

CASE SUMMARY

The person responsible receives a cost invoice from supplier Electricity SLO Europe Plc. and wants to enter it into the system. This is done by creating a new received invoice, entering the data about the supplier, invoice and lines from the invoice, adding a note and checking the value of the invoice, and finally printing the invoice. This is done as follows:

  1. Opening the New received invoice form
  2. Entering data into the header of the received document
  3. Entering general data of the received document
  4. Entering lines
  5. Entering a note into the footer of the document and checking the value data
  6. Printing the received invoice

1 Opening the New received invoice form

The person responsible opens a new received invoice from the main menu by clicking Purchases and selecting the New received invoice module. An empty form for entering data is opened.

2 Entering data into the header of the received document

The person responsible begins entering data by selecting the document type in the Document type field. In this case, it is a cost invoice, so the person responsible selects 1200 - Invoice for costs from the list of preset document types.

Into the Supplier field, the person responsible starts entering the name Electricity SLO Europe Plc. and selects it from the list of subjects.

HINT

You can search suppliers by name or tax number.

 

3 Entering general data of the received document

After entering the data into the document header, the person responsible continues by entering general data about the invoice.

Into the Received invoice field, the person responsible enters the receive date - 27.02.2023.

Into the Due date field, the person responsible enters the number of days until the invoice is due - 8.

Into the Reference field, the person responsible enters the invoice reference - 00 INV-22/06.

In the Warehouse field, the person responsible selects the COST ACCOUNTS warehouse.

4 Entering lines

After entering the invoice data, the person responsible enters invoice lines.

Into the Add item field, the person responsible starts entering Electricity costs and selects item -COST_ELECTRO - Electricity costs from the list.

Into the Quantity field, the person responsible enters 1 and into the Price field, the person responsible enters 25. By clicking the   (Add lineicon, the line is saved and the person responsible can begin entering a new line.

The person responsible enters a new line with the same item in the same way, enters the quantity 12 and price 208,33. The person responsible saves the line.

The first line on the invoice is the network fee. The person responsible wants to mark this on the entered line.

In the first line on the right side, the person responsible clicks the (Note) icon. A new window for entering notes is opened. The person responsible enters - Network fee and saves the note by clicking the Save button.

The line with the note is marked with a yellow note icon. It will also be visible under the line in the report.

5 Entering a note into the footer of the document and checking the value data

The person responsible clicks the Note field in the footer of the document to open the form for entering notes that will be visible on the document report. The person responsible enters 'June 2022' and saves by clicking the Save button.

In the Value, VAT and Amount due fields, the person responsible checks the values to see if they match the values on the invoice.

Clicking the Save button in the toolbar saves the document.

6 Printing the received invoice

To generate the received document report, the person responsible clicks the arrow next to the Print button in the toolbar.The person responsible selects 226 - Receiving slip from the list.

The report is generated in a new browser tab and can be printed with a connected printer or downloaded to a disk.

IMPORTANT

You want to delete the document with link to documentation, the IRIS message will appear with options to Delete links in documentation or cancel operation.
