Change Locations

   

 

The Change Locations form allows the person responsible to change the location of one or more assets at the same time. This feature is especially useful when multiple assets, currently in the same location, are being moved to a new location, for example, during office relocations, department reassignments, or equipment reorganization.

The form can be accessed from the Fixed assets, Small Tools and Register-Fixed Assets in Acquisition registers, by right-clicking within the Movement tab and selecting Change Location of Selected Assets.

The Change Locations form consists of the following functional units:

All Movements from Issue to Expected Return

If this checkbox is selected, the system will display all assets whose movement falls between the Date of Issue and the Expected Return date.

If it is not selected, the system will return only those records that exactly match the specified Date of Issue and Expected Return date.
Old Location

An alphanumeric identifier assigned to each physical location, showing where assets are stored or used. Use this field to filter assets currently assigned to a specific location. This location will be replaced when the transfer is performed.

 

Warning

If this field is left blank, the Find button will return no results.

Date of Issue Filters assets by the date they were issued to a location. If the date is selected, only assets issued on this date or between this date and the Expected Return date will be included in the search results. The field can also be left empty.
Expected return Filters assets by the Expected Return date, if this date has been entered in the Movement tab. This allows users to identify assets scheduled to be returned by a particular date. The field can also be left empty.

Sel.

(Select)
Checkboxes in Select column are selected by default for all listed entries. A checked box indicates the asset is selected for location Transfer. Individual entries can be excluded by manually unchecking their respective boxes.

Inv. No.

(Inventory Number)
Displays the unique Inventory Numbers of the assets, as recorded in their respective registers. This field is populated automatically after clicking the Find button.
Name Shows the primary Name of the asset, such as Fence, Building, or Computer. The field is automatically populated when the Find button is clicked.
Date of Issue Displays the original date when the asset was issued to a location. This field is populated automatically when the Find button is clicked.
Expected return Displays the Expected Return date of the asset, if this information exists in the Movement tab. It is automatically filled when the Find button is clicked.
New Location

Use the drop-down menu to select the New Location to which the selected assets will be transferred. Selection is taken from the Fixed Asset Locations register, which can be accessed by double-clicking the field.

 

Warning

The specified New Location will overwrite the Old Location for each of the selected assets.

(Find Button)

Clicking the  (Find) button retrieves all assets that match the criteria specified in the top section of the form (in the fields: All Movements from Issue to Expected Return, Old Location, Date of Issue and Expected return).

(Transfer Button)

Click the  (Transfer) button to transfer all selected assets from the Old Location to the New Location. The program will update each asset's location accordingly in the Movement tab.
