Mailbox for ePosting settings

PANTHEON

Mailboxes in PANTHEON specify the way how documents are sent or received through Mailroom.

The Mailbox for ePosting can be downloaded from the Web Service or added manually. When a mailbox is created, the user has to set data for login.

Below is an example of how to transfer the Mailbox and create a new login.

CASE SUMMARY

The person responsible wants to use Mailroom for ePosting services. The mailbox is to be transferred using the Web Service and set up for use. This is done as follows:

  1. Opening the Mailboxes menu
  2. Transferring the Mailbox using the Web Service
  3. Creating a new login for ePosting Mailbox
  4. Defining Mailbox header settings
  5. Defining Mailbox settings on tab Settings
  6. Defining Mailbox settings on tab eWorkflows
  7. Defining Mailbox settings on tab Task Autorun

1. Opening the Mailboxes menu

The person responsible wants to transfer the ePosting Mailbox to PANTHEON.

To do this, the person responsible opens the menu Settings | Program | Administration Panel.

In the left menu, the person responsible opens the panel Settings | Documentation and navigates to the Mailboxes panel. The form for managing mailboxes opens.

Next, transfer the Mailbox.

2. Transferring the Mailbox using the Web Service

In the toolbar, click the (Import/Export data) button and selects the Transfer registers option from the drop-down menu.

The Transfer registers – Mailboxes window opens.

The person responsible clicks the Transfer from server button and the mailboxes are transferred to lines.

Then, the person responsible selects, i.e. marks, the desired mailbox, in this case ePosting and imports it by clicking the bottom right Transfer into register button, as shown in the image below.

HINT

If the mailbox already exists, this only updates its data.

3. Creating a new login for ePosting Mailbox

When the mailbox in transferred into the program, the person responsible needs to create a new login for ePosting, this means that a kind of user account or profile is created, which will be used to access the Mailbox.

Double-clicking the Login field opens a window for creating a new login.

  • For the new login, the person responsible enters a desired username in the Logins form.
  • Then, the person responsible enters the password received by email upon the activation of the ePosting service in the Password and Confirm password fields.
  • The person responsible confirms the new login for ePosting by clicking the (Post edit) button, as shown in the image under point 3 below.

Next, the person responsible defines required settings in Mailbox header.

4. Defining Mailbox header settings

In the search field on the Mailboxes panel, the person responsible clicks the button, finds the Mailbox using the search engine and selects it. In this case: ePosting.

In the Name field, the name of the Mailbox that was transferred via Web Service is already visible.
 

HINT

The ePosting Mailbox Icon visible in the Mailroom is preset by default, but it can be customized by clicking on the icon and selecting a different one from the gallery.


In the Login field, the login with login data for ePosting, which is created in Logins register is selected. 

In the Classification field in header, select the default classification from Classification register, for documents received through this mailbox.

In the next step, configure the settings on the Settings tab.

5. Defining Mailbox settings on tab Settings

On the Settings tab, transferred operations and their data is visible.

From the list in the Subject field, primary subject is selected.

HINT
  • The Identify field is an additional option that enables establishing a secure connection with the service provider.

 

IMPORTANT
  • The Log tab displays a log of events (transfers via mailbox).
  • Tab Dates displays the last checked date for document statuses in the mailbox.

In the next step, configure the settings on the eWorkflows tab.

6. Defining Mailbox settings on tab eWorkflows

On this tab, eWorkflows are linkted to Mailbox.
From the dropdown list select ePosting eProcess:

  • ePost OCR

and

  • ePost Split PDF

HINT
We can edit or add necessary ePosting eWorkflows from Web service in Workflow design register.

 

IMPORTANT
When eWorkflow is linked to the mailbox, mailbox is visible in the Mailroom. Each added eWorkflow is displayed as an action button on the Mailroom form.

In the next step, configure the settings on the Task Autorun tab.

HINT
  • Tab Classification allow default classifications are set for specific types of received mailbox documents.

 

7. Defining Mailbox settings on tab Task Autorun

Tab Task Autorun allows to set task automation for the mailbox eWorkflows.
Responsible person wants to set task autorun for eWorkflow ePost OCR.

Select button Add "ePosting" eWorkflows to transfer them to tasks list.

For the selected eWorkflow ePost OCR define the task settings:

  • In filed Run select Recurring for repeating task.
  • In filed Start set tomorrow at noon as a start of the repeating task.
  • In field Repeat Every 1 Days for repeating task every day.

To run task true PAAS  select checkbox Run on Automation Server and set desired Max. Duration.
 

HINT
If checkbox Run on Automation Server is unchecked, which is default, task is executed on client PANTHEON running under user selected in Users tab.

Save the mailbox by clicking the (Post edit) button.

ePosting Mailbox is now ready to be used in PANTHEON Mailroom. You can see user case in chapter ePosting case.
