Authorazations by employee status


Authorizations by employee status allow us to restrict a specific individual's access to persons with a certain status.
This chapter describes how to set up authorizations by employee status.

Case summary
Secretary Adela Administrator currently has access to all employees. We want to restrict her access to employees with status Full-time (Fixed-term, Limited duration, Permanent, Unlimited duration). We do this in the following steps

1. State before restriction
In the picture, we see that Secretary Adela Administrator has all authorizations for statuses.

For example, she can access the personnel file, travel order etc. of employee Marc Manufacture.

2. Set up of authorizations by status
We restrict Secretary Adela's rights to the statuses: Full-time (Fixed-term, Limited duration, Permanent, Unlimited duration).

3. Overview after restriction
Now Adela Administartor can see all employees with the statuses for which she is authorized. The restriction on viewing statuses applies to the entire Personnel module (Employee files, Travel orders, Calendar, Reports...)

Despite the restriction on the statuses Full-time and Permanent, she can still see her personnel file. That is because she has set authorizations to view her own data.

Hint
We can also set restrictions on statuses for superiors. The superior will see only subordinates with the status for which they are defined.

Warning
The restriction on viewing statuses applies to the entire Personnel module (Employee files, Travel orders, Calendar, Reports...). Nevertheless, we recommend that the authorizations for the employee be defined for those functionalities for which they are responsible in the company. For example, if a person in the company does not process payroll, they should have zero authorizations for payroll processing.
