Adding Regular Inspections Records

PANTHEON

The Regular Inspections tab is used to record inspection details for specific Subtypes of fixed assets (Equipment, Company Vehicle, Trailer, Land, or Building) and to track inspection schedules for regulatory or operational compliance.

Hint

For additional details on Subtypes, refer to the Header chapter.

Case summary

Tecta Plc. operates a delivery van which requires an annual safety inspection. After the first inspection on the 3. 8. 2025, the person responsible enters the inspection details into the Regular Inspections tab to track compliance and plan the next inspection date.

This is done as follows:

  1. Accessing the Regular Inspections chapter
  2. Adding a new Regular Inspections record

1. Accessing the Regular Inspections chapter

Person responsible opens the Fixed Assets register by navigating to Financials | Fixed Assets | Fixed Assets.

The Fixed Assets register opens.

The person responsible uses the Toolbar functions to navigate to the FA which will have the new inspection recorded. In this case the inventory number 00039.

Once the inventory number 00039 is selected, the person responsible clicks the Regular Inspections tab.

In the next step, the person responsible adds a new record to the Regular Inspections tab.

2. Adding a new Regular Inspections record

To add a new record, the person responsible clicks the New Record field, which creates a new entry line.

In the new entry line, the person responsible clicks the arrow in the Inspection field and selects the type of the inspection from the drop down menu. The person responsible selects Regular inspection.

Hint

If the required Inspection or Institution is not available in the list, or if the interval needs to be modified, double‑click the respective field to open the Subjects register, where the data can be added or updated.

After selecting the inspection type, the Inspection Date, Institution and Interval fields are automatically populated.

The person responsible selects the Meets Standards checkbox, confirming that the van passed the inspection without any issues.

The person responsible enters a different Inspection Date, as the inspection was carried out on 3. 8. 2025 rather than on the current date.

After selecting the date, the person responsible presses the down‑arrow key on the keyboard. This action saves the current entry, automatically populates the Next Inspection field with 3. 8. 2026 (based on the Interval field), and generates a new line for additional entries.

The person responsible has successfully added a new inspection record.

Hint
  • The second line created by pressing the downward arrow is not automatically saved and will not be visible once the person responsible moves out of the Regular Inspections tab. It can also be immediately removed by pressing the upward-pointing arrow key on the keyboard.
  • When entering the next inspection details, pressing the downward arrow key creates a new entry line.
