Manual posting

The module Financials in PANTHEON allows you to post documents manually. Manual posting is typically used to post opening balances at the start of business, bank statements or in cases where automatic posting is not possible. Because less data is entered in the lines, the process is faster and more transparent. In this case, the journal entry is created manually.
Below is an example of manual posting in PANTHEON.

CASE SUMMARY
Ashley Accountant, Head of Finance and Accounting at Tecta, will manually post the Unicredit bank statement. The bank statement contains records of the company's inflows and outflows which need to be closed with the company's open receivables and payables. This is done as follows:
- Selecting the journal entry
- Entering basic data into the journal entry
- Manually entering lines into the journal entry
- Closing bank account

1. Selecting the journal entry
To manually post a Unicredit Bank bank statement, the person responsible opens the menu Financials | Posting.
The person responsible selects the desired journal entry for posting from the list of journal entries.
In this case, the journal entry 4120 - Bank reconciliation - Unicredit bank is selected.
The window 4120 - Bank reconciliation - Unicredit bank opens.
By clicking the toolbar button
(Insert record), a new journal entry record is created.
2. Entering basic data into the journal entry
The person responsible starts to enter the basic data into the journal entry.
In the journal entry header, the field Clerk is automatically populated with the information on who created the journal entry.
By default, the field is populated with the currently logged-in user.
The Posting date and Target date are also automatically populated with the current date, in this case 6.5.2022.

The shortcut for filling in the field Posting date with the current day is Alt+D.

Then, the toolbar button
(Post edit) is clicked to create a new record.
The document numbering is automatic and can be set up in the Administration Panel.
A new journal entry number is created, in this case 22-4120-000001.

3. Manually entering lines into the journal entry
The person responsible manually enters details on the postings into the lines.
The person responsible first enters the sequence number of the line in the column Line manually. The sequence number can also be automatically generated by the program.
From the selection table in the column Account, the account for which the postings will be created is selected.
Double-clicking the field in the column Account opens the Chart of accounts, where all accounts should be appropriately organized.
In this case, the person responsible manually copies the company's inflows and outflows from the bank statement.
The person responsible first enters the account 1200 - Short-term trade receivables - domestic market, i.e. customer payments.
The number 1200 is manually entered into the field Account.
The person responsible then enters the Subject from which the company received the inflow.
This filters the Documents and Linked documents in the next two fields by the subject entered here.
In this case, the person responsible manually enters "Ikea" in the field Subject and selects the subject from the drop-down list of Subjects.
The person responsible copies the reference to which the customer has referred.
There is no closing document when entering the reconciliation, which means that the document is to be created.
In the field Credit, the amount is entered, in this case 10.000 EUR.
The program automatically selects the target date from the journal entry header as the payment date.

To enter a new position, the person responsible clicks the key Down on the keyboard.
The person responsible then enters the supplier payment line.
In the field Account, 2200 - Short-term trade payables - domestic suppliers is entered.
In the field Subject, the person responsible selects the subject for which the liability has been settled, in this case Datalab SI d.o.o.
The drop-down list in the field Document shows documents that are open on the receiving side, as shown in the image below.
In this case, the invoice 22-1200-000010 for 4.703,18 EUR has been paid, which is entered in the field Debit.

You can access the journal entry lines using the shortcut Alt+P.

This procedure is repeated for all inflows and outflows shown on the bank statement.
4. Closing bank account
Finally, the person responsible needs to post the inflows and outflows from the company's bank account.
In the final step, the person responsible clicks the toolbar button Close bank account.
This creates contra-entries to the entered lines.
In this case, the person responsible creates a debit and a credit entry on the account 1102 - Cash in bank except foreign currencies cash - Unicredit bank.

In the field Balance, the caption BALANCED is automatically displayed.
