
Performing a task (use case)

This eWorkflow enables PANTHEON users to communicate, redirect and define tasks in the program. The users can create the tasks themselves or their superiors or colleagues can redirect tasks to them, which is shown in this use case.

CASE SUMMARY
The person responsible at Tecta wants the selected user to check the accuracy of the data on document 23-2410-000001 and to confirm the document. To do this, the person responsible opens the document and uses the eWorkflow Perform task to send a message to the user, which the selected user receives as a task with a link to the document. The eWorkflow is executed according to the following steps:
- Opening the task from the form toolbar
- Selecting the relevant user
- Entering the message
- Running the task
- Opening the linked document

1. Opening the task from the form toolbar

After the download, the eWorkflow Perform task is available on all PANTHEON forms.

The person responsible opens the document for transfers between the Warehouse Wholesale and Warehouse Retail with an ID of 23-2410-000001. In the form toolbar, the person responsible clicks the
(Import/Export data) button and selects Perform task.

The task starts running. Next, the person responsible selects the user to whom the task will be sent.
2. Selecting the relevant user
After running the task, the Write a message form opens.
The Document field shows the key of the document from which the eWorkflow was started.
On the left side of the form, a list of all PANTHEON users is displayed.

In the search field above the list, the person responsible enters "Marc" and then clicks the Marc Manufacture line in the list to specify the user who will receive the message.
The selected user is recorded in the field under the document ID.

Next, the person responsible enters the desired message.
3. Entering the message
The person responsible clicks the field for text input and uses the keyboard to clear the default content using the Backspace or Delete keys.
Then, the person responsible enters the desired message for the user: "Please check that the data is correct and confirm the transfer."
By clicking the Approved button, the person responsible sends the confirmed message to the selected user.

Now, the eWorkflow will continue to be executed with the selected user.
4. Running the task
The message is displayed to the selected user in the To-do (Tasks) form.
The form can be opened from the Settings | Documentation | To-do menu or by clicking the Tasks button in the top right corner of the program window.
In the list, the person responsible clicks the line with the title Received message.
In the Overview tab at the bottom of the window, the person responsible can see the details of the eWorkflow.

In the list, the person responsible checks the Mark checkbox for the selected line and runs the task by clicking the Run button.
The Received message form opens, showing the message and the document ID.

Next, the person responsible opens the linked document.
5. Opening the linked document
Double-clicking the document ID in the Document field opens the form 2410 – Transfer Wholesale -> Whs. Material and the document with the ID of 23-2410-000001.
A yellow task banner with the message and buttons for confirmation and redirection is displayed on the form.

Once all that is necessary in relation to the task has been done, the person responsible clicks the Approved button.
The form is closed and the eWorkflow is finished.

HINT
Clicking the Redirect button returns the user to the first step of the eWorkflow, where the user can select the recipient and enter a new message to redirect the eWorkflow to another user if necessary.
