Load to DMS

The Load to DMS block allows you to import files (from a folder or a single file) into Documentation. For imported files, general information for the DMS document such as title, subject, classification, linked document (document key from the database) and Archive can be defined.

HINT

This block is a key building block of the predefined eWorkflow Import from folders.

1. Import settings

This part of the form specifies which files are imported into Documentation and what happens to them after import.

Folder/Zip file name/file name (delimiter ; )

Defines from where the data is transferred to Documentation. The following data sources can be specified:

  • Folders – All files from the folder are transferred to Documentation.
  • ZIP files – All files from the ZIP archive are transferred to Documentation.
  • Name of one or more files to be transferred to Documentation, where the names are separated with a semicolon.
  • Variable (written in square brackets) containing the values previously specified.

Delete files after import

If checked, deletes the files that have been imported into Documentation.

Replace files if they exist

If checked, allows the file to be re-imported into Documentation. This overwrites the existing file.

2. DMS document data

Upon import, this part of the form is populated with general information and links, while the document is placed in the appropriate archive and assigned the corresponding classification.

Title

Defines the title (name) of the document, which is displayed in the Title field after importing the document into Documentation. The title can be either a specific name or a variable e.g. SelectedDocs).

Subject

Select the corresponding subject from the drop-down list that appears on the created document in the Documentation. The subject is displayed in the Subject field.

Link document

Allows the Links tab of the Documents form to transfer and display the links to the documents of the selected document when the selected document is imported into Documentation.

The parameter can contain one of the following values:

  • Define anQId.
  • Enter a variable (written in square brackets) containing the corresponding value.
  • Leave the parameter empty, which means that no document links are transferred upon import.

DMS archive

Define the document type for archive.

Classification

Allows you to sort files in the DMS by classification.

The parameter can contain one of the following values:

  • -1 or empty. In this case, the newly created document is not classified nor the classification of the current document is changed.
  • Value from the anQId field of the tMN_SetClassification table. In this case, the document classification is set to this value.
  • Enter a variable (written in square brackets) containing one of the above values.

DMS DocumentQID

When importing files into Documentation, they can be imported into a new or existing document. Specifies the DocumentQID under which the files are imported.

The parameter can contain one of the following values:

  • -1 or empty. In this case, new documents are created.
  • ID of the existing document. In this case, the files are added to the existing document with the specified QID.
  • Enter a variable (written in square brackets) containing one of the above values.

Reset

Returns all field values to default or empty.

OK

Saves information and closes the window.

Cancel

Closes window without saving.
