Import from folders

Using the Mailbox, this eWorkflow imports documents from the local folder to eDocumentation and classifies them accordingly. At the same time, it also controls the documents that have already been imported.

The eWorkflow is made up of a set of automated elements, which run the following crucial steps in the background:

  1. Searches for the folders containing the files that are specified for import. In this step, the Database block is crucial.
  2. Checks the files for import, creating documents in eDocumentation and attaching the files. In this step, the Load to DMS block is crucial.
  3. Classifies the documents created in eDocumentation. In this step, the Classify document block is crucial.
  4. Moves the imported files to another folder. In this step, the Script block is crucial.

 

 

HINT

To import the eWorkflow, follow the procedure described in Download WF definitions.

 

For the eWorkflow to work properly, the following settings must be defined beforehand:

1. Creating folders

Create a folder on your computer (server, local disk) where you will save the files that you will import into eDocumentation using this eWorkflow.

In this case, a folder was created at location "C:\Import_from_folders".

Next, create another folder where the eWorkflow will temporarily store the files that have already been imported into eDocumentation. In this case, the folder "Bkp" was created at location "C:\Import_from_folders\Bkp".

2. Setting up Mailbox Import from folders

The exchange of documents from the local folders to the eDocumentation is carried out using the corresponding Mailbox.

You need to import the mailbox into the Mailboxes register using the Web Service and define the appropriate settings for it.

HINT

You can create as many mailboxes as you want for importing files from folderss. You can use them to import specific documents from different folders on your server or computer and classify them accordingly.

 

WARNING

Importing the Mailbox is a one-time process. If you have already done this, you can skip this step.
