eDocumentation and activation

 

eDocumentation is the repository of all documentation used the company. Incoming and outgoing mail (together with the record of incoming/outgoing mail), accounting documentation (e.g. account cards, year-end reports, reminders, etc.), commercial documentation (e.g. contracts, annexes, etc.), technical documentation (e.g. user manuals, warranty cards, etc.), in short, ALL documents that have been filed in binders or papers that have been circulated around the company are stored in the eDocumentation.

CASE SUMMARY

Tecta wants to start using eDocumentation to ensure a more efficient and faster access to documents. At the same time, the company wants to eliminate the physical archiving of documents and shift completely to electronic business. To start using the functionality in PANTHEON, Ashley Accountant, Head of Finance and Accounting at Tecta, takes the following steps:

  1. Selecting the storage type for eDocumentation
  2. Selecting the subscription package
  3. Ordering the subscription package

1. Selecting the storage type for eDocumentation

On the Datalab website under eBusiness, the person responsible checks what types of eDocumentation are available to users depending on the type and location of storage of the documents. Three storage modes are available:

  • eDocumentation
  • Certified eDocumentation
  • Local eDocumentation

Tecta wants to eliminate the physical storage of archived documents, which is why it opts for the certified eDocumentation.

2. Selecting the subscription package

Depending on the number of documents per month and the space required to store these documents electronically, the person responsible can choose between the different packages available:

  • Certified eDocumentation 1GB
  • Certified eDocumentation 5GB
  • Certified eDocumentation 10GB

Tecta has many departments in which documents are created, but they are aware that their development will further expand the company. For this purpose, the person responsible chooses the package Certified eDocumentation 10GB.

3. Ordering the subscription package

The person responsible can order the subscription package on the PANTHEON Usersite under EServices. This activates the service or functionality.

After the order has been successfully placed, the person responsible receives a confirmation email.

WARNING

Once the eDocumentation service has been successfully activated, the next step is to set it up in PANTHEON. For detailed instructions on this process, see the chapter eDocumentation settings in PANTHEON.
