Classification Scheme

The Classification scheme is a system of sorting the documents, which is set by the company's authorities or is rooted in errands or tasks, bussines processes or company activity.

It is the basic and most important plan for arranging documentary material. It very precisely defines the documentation hierarchy, the type of documentation and its purpose, the storage period and the method of labelling or document numbering.
According to the classification scheme, for example, an electricity supplier's invoices will be accurately placed and easily found later on. This will dictate in which storage (pantry), in which archive (closet) in this storage and in which classification (binder) the document is located. Aside from this, the Classification scheme also determines the manipulation of the document, time of archiving, levels of access (authorization) and so on.
Classifications can be grouped hierarchically and thereby create a tree of classification documents, which enables faster determining and searching.

The Classification scheme is a living organism that can be expanded and contracted according to the life cycle of your company. In PANTHEON, the documents can always be moved from one classification to another, storage types of classifications can be changed, or additional metadata or processes can be added to a classification.

Web Service offers pre-prepared classification schemes for the most common business subject types, to make the start easier. After transferring the classification scheme, you can edit classifications and create new ones if needed.

We recommend you do not overcomplicate things and start using the document system like it is pre-prepared in one of these Classification schemes. After 6-12 months of use, when you will be used to it, start cleaning and adjusting your classification scheme! You have all the flexibility and no document or other information will be used!
