Setting authorizations for classifications

For individual Classifications, the company must determine which users or groups of users can access which documents.

This is done by authorizations on the individual classification. Authorizations determine the users' rights.

The authorizations of classifications in practice mean that different company employees have different accesses to the documentation. The director of the company can, for example, see and edit all documentation, personnel documents can be seen and edited by users employed in human resources, and IT has access to business documentation.

This chapter presents a practical case of managing authorizations on a classification.

CASE SUMMARY

On a newly created classification for storing project documentation, the person responsible wants to arrange authorizations. Full rights for reviewing and editing project documentation are allocated to Adele Administrator and Daniel Director. Other employees in the company do not have insight into project documentation.

In the menu, the person responsible selects Settings | Documentation | Classification Scheme.

The person responsible selects the classification for which authorization will be set. The person responsible selects the Authorizations tab.

In this case, the person responsible selects the classification: 5531 - Project Documentation for Assembly EU.

A list of authorizations opens. On this list, rights for all users of PANTHEON are evident. For the selected classification, all users currently have the same right determined: Delete - Basic permissions, which in practice enables reviewing, editing and deleting the documentation.

HINT

On the list, the person responsible starts editing the authorizations by checking the checkboxes with status None in the Basic permissions column for users that do not have access to documentation in the selected classification.

For users Adele Administrator and Daniel Director, the person responsible wants to leave full rights, so the users keep the status Delete in the Basic permissions column.

When this is done, access rights on the specific classification are set.
