Deleting expired documents

 

To review and delete expired documents in PANTHEON DMS more easily, you can use the Expired Documents tool in  the Classification Scheme.

The Expired Documents form displays all expired documents, which can then be marked and deleted with one click.

This page present an example of how to use the Delete expired documents feature in the Classification Scheme.

Case summary

The person responsible wants to sort and review expired documents and then delete the documents that are no longer needed. This is done by following these steps:

  1. Opening the Expired Documents form
  2. Sorting documents
  3. Deleting selected documents

1. Opening the Expired Documents form

The person responsible wants to review expired documents in the Expired Documents form. To do this, the person responsible selects Settings | Documentation | Classification Scheme.

A form with the company’s classification scheme opens.

In the toolbar, the person responsible clicks on the  (Wizards) and selects Show expired documents. This opens the xpired Documents form.

The person responsible continues to review and sort the documents.

2. Sorting the documents

The person responsible wants to review which documents are stored in the eDocumentation storage.

Clicking the top of the Storage ID column, all documents stored in the eDocumentation storage are grouped together and shown at the top of the table.

The person responsible continues to delete the selected documents.

3. Deleting selected documents

The person responsible marks all the documents stored in the eDocumentation storage by selecting the checkboxes in the Marked column.

Clicking on the Delete marked button, all the selected documents are deleted.

Clicking on the Yes button in the confirmation message, Do you want to delete the selected documents?, the documents are deleted.
