Email to DMS

The Email to DMS block receives an email message from the server and adds it into the Documentation module.
The email message is stored in Documentation as a text file (with all email message information). The attachments are extracted from the received email message and saved as independent files.

Double-clicking on an Email to DMS block opens a the Email To DMS form.

In the form header, define the mail server type and mailbox.
Mail server type

Select one of the options from the drop-down list:
- Use mailbox settings – Applies the settings of the selected mailbox in the Mailbox field. In this case, an additional Mailbox settings section is displayed.

HINT
The mail server parameters for the mailbox can be changed directly in the workflow settings form (except UserName). The changes are saved in the mailbox settings table. Settings can also be specified manually in: Settings | Administration Panel | Settings | Documentation | Mailboxes.

Mailbox
|
From the drop-down menu, select the mailbox that you want to use.
- When Mailbox is selected, then information about received emails is saved into tMN_MailboxLog table. You can review the log in the Administration Panel | Settings | Documentation | Mailboxes.
- If Mailbox is not selected (left empty), then log information will not be saved.

HINT
It is recommended to add an independent mailbox for each email server.

Configure the server settings depending on the server type you are using (POP3 or IMAP).
Name
|
Enter server name.
|
Port
|
Enter port number. The default setting for POP3: 110, for IMAP: 993.

Timeout (sec)
|
Enter the time after which the program stops trying to connect if there are problems connecting to the server.

User Name
|
Enter the username.
|
Use TLS/SSL
|
Select whether to use Transport Layer Security (TLS)/Secure Sockets Layer (SSL) protocol. The default setting: Yes.

Use SASL
|
Select whether to use Simple Authentication and Security Layer (SASL) protocol. The default setting: No.
|
Inbox (IMAP only)
|
Enter the inbox name. This field is only visible if IMAP is selected.

Force TLS 1.2
|
Enable the checkbox to force the more secure TLS 1.2 protocol.

Leave messages on server (POP3 only)
|
Enable the checkbox if you want to leave the messages on the server after receiving them to your email client. This field is only visible if POP3 is selected.

Test
|
Use this button to test the connection to the email server.

Filter files to import
|
You can enter filter for files attached to the email that will be imported to Documentation.
Several filters should be delimited by semicolon (for example, *.pdf;*.xml;*.docx).
If this field is empty, then all files will be imported. An *.eml file is always imported, i.e. the content of an email message.

Title
|
Enter the title for the data which will be imported from the email to Documentation.
|
Subject
|
Select the subject from the drop-down list that appears on the created document in Documentation.
The field can be left empty.

Link document
|
Enter the number of the linked document.
|
DMS archive
|
Define the document type for the archive to which you want to save the emails received.
|
Classification
|
From the drop-down menu, select the desired classification scheme, which allows you to classify the imported files in the Documentation by classification.

HINT
When an email is imported into Documentation, some of the data is displayed in the Metadata tab of the individual document.
