Submit requests for absences, work obligations etc.

This eWorkflow enables the user to submit requests for annual leave, sick leave and any other requests (late arrival, shift change, etc.). TThese requests can then be monitored in PANTHEON Web Light by the superior, who can either approve or reject them.

HINT

To import the eWorkflow, follow the procedure described in Transferring eWorkflow via PANTHEON Web Service.

The eWorkflow is divided into the following steps:

1. The eWorkflow checks the submitted employee requests, reads the data on superiors and sends emails to the superiors.

2. Next, the eWorkflow checks the type of absence and asks the superior to approve or reject the request.

3. Finally, the request response is recorded and the employee is notified thereof by email.

HINT

For a use case, see the chapter Submitting a request for absence.

For the eWorkflow for sending requests and Granule Work records to work properly, the following settings need to be defined:

Table of Contents

  1. Setting up work schedule
  2. Setting company outgoing server
  3. Setting up email address for the employee
  4. Setting up the contact
  5. Setting up the superior
  6. Setting up the authorizations for entering absence

1. Setting up work schedule

In the menu Settings l Work records, the relevant work schedule needs to be selected in the Work schedule field.

In the Date field, the start date of the work schedule needs to be set.

2. Setting company outgoing server

By clicking the menu Settings l Company l Company outgoing server, the settings for sending and receiving emails, together with the username and password, need to be defined.

For more information on these settings, see the chapter Company outgoing server

3.Setting up email address for the employee

In the menu Personnel I General l Change contact information, the employee's email address needs to be entered in the Primary email field, which can be selected in the section Contact information under Type of contact.

4. Setting up the contact

In the Employee Files of an employee, select the employee contact that is linked to the subject (in principle, the subject is This company).

WARNING

The contact must also be linked to the user.

5. Setting up the superior

In Personnel I General, the Superior field is used to select a superior for each employee.

6. Setting up the authorizations

In PANTHEON, authorizations for the Task Overview, Workflow and Absence overview permission need to be set up for superiors who do not yet have authorization for entering absences.
